Reporting to the Surgery Department Manager, this position requires clinical knowledge, organizational efficiency, attention to detail, and strong communication skills. The Surgery Scheduler ensures proper documentation, timely scheduling, and coordination with patients, providers, vendors, and facilities to maintain a seamless surgical experience. What You’ll Do: Scheduling & Coordination: Contact patients within 24 hours of receiving surgery orders. Schedule procedures with the provider, facility, anesthesia, and vendors as required. Complete all pre-operative documentation including scheduling forms, consents, H&Ps, and disclosures. Confirm surgery details with patients and communicate pre- and post-op instructions. Ensure medical clearance and pre-surgical testing are obtained. Coordinate with providers and facility teams to ensure case readiness. Insurance & Authorization: Verify patient insurance benefits on file to be accurate and complete. Provide patients with cost estimates for surgeon’s fees. Collect surgery deposits prior to procedures. Administrative Support: Collaborate with physicians and team members to streamline surgical processes. Respond to schedule changes and patient inquiries in a timely manner. Assist the surgery team and complete additional duties as assigned by leadership. QualificationsQualifications & Requirements: Minimum one year of customer service experience required. Spanish bilingual is a plus. Minimum one year of surgery scheduling or medical office insurance verification preferred. Prior experience in medical scheduling or similar office role preferred. Knowledge of medical terminology and insurance processes. Experience verifying benefits, including deductibles, coinsurance, and out-of-pocket limits. Position Title Patient Scheduling Associate KUCC - East - Lee's Summit Position Summary / Career Interest: The Patient Scheduling Associate provides the highest level of customer service as they assist patients with routine scheduling of new and follow-up appointments requested by patients and providers and may also contact patients who have received a specialty referral. The Patient Scheduling Associate also assists patients with insurance registration with The University of Kansas Health System's outpatient clinics. This work may be done away from the front desk of a clinical area and could include work in a call center setting taking large volumes of patient phone calls. (Employees in the call center setting may have the opportunity to work remotely from home after demonstrating consistent competency with job duties.) In the clinical location, this role is responsible for front desk operations including greeting and checking in customers and visitors, copay collection, completing MyChart and EMR (Electronic Medical Record) appointment requests, processing external medical records and helping the physician care team prepare for daily patient appointments. Responsibilities and Essential Job Functions - Position responds to a high-volume of incoming telephone calls. Answers phone calls in a timely manner; provides complete and accurate exam related information to the patient regarding prep and other exam related notes; keeps work area organized and scheduling information readily available; maintains productivity within benchmark levels.
