The Role: SoFi is looking for a highly organized and proactive Executive Assistant to support our Global Operations Team Executives. This person will help lead the charge as a culture carrier through seamless communication and execution. The focus of this role is on operations execution, logistics, materials readiness, organization, and executive enablement. The ideal candidate is a problem solver with excellent business acumen and proven organizational skills who demonstrates an ability to juggle multiple critical requests autonomously and effectively. You should be proactive, exercise good judgment, and thrive in a fast-paced environment while maintaining calmness and control under pressure. What You’ll Do: - Executive & Leadership Support: Manage complex executive calendars, including prioritization, conflict resolution, and schedule optimization to map out daily itineraries. Maintain meeting request trackers and executive to-do lists to ensure timely action-tracking and follow-ups. - Meeting Logistics & Materials: Own end-to-end logistical execution for executive meetings, leadership forums, and org-wide events like Global Operations Town Halls and XLT sessions. This includes securing venues, managing A/V, RSVP tracking, and day-of troubleshooting. - Materials Readiness: Refresh decks (formatting, attendee lists, org changes) and track outstanding inputs from presenters to ensure all materials are versioned and ready for distribution. - Communication & Readiness: Create and manage weekly email reminders for executive priorities and deadlines. Proactively chase updates from stakeholders to ensure executives are prepared for all deliverables. - Travel & Expenses: Coordinate complex domestic and international travel arrangements and manage expense reporting and procurement in accordance with company policy. - Leadership Materials Archive: Maintain a centralized "Single Source of Truth" archive for leadership materials, ensuring strict version control, naming conventions, and searchable accessibility. - Governance: Own the accuracy of executive distribution lists, leading regular audits to reflect org changes and partnering with IT to explore automation solutions. - Relationship Management: Build and maintain positive relationships with internal stakeholders and senior leadership to ensure continuity in communications. What You’ll Need: - Experience: 4+ years of experience providing administrative support, including complex calendar, travel, and expense management. Tech company experience is preferred. - Technical Skills: Excellent computer skills with a strong grasp of Google Workspace (Docs, Calendar) and Outlook. - Organizational Prowess: Incredibly detail-oriented with the ability to prioritize multiple assignments and change direction quickly. - Event Management: Proven knowledge of organizing off-site events and large-scale team meetings. - Soft Skills: Strong scheduling prioritization skills and the ability to exercise high levels of discretion and confidentiality.
