• Be a trusted communication liaison for executive leadership • Manage complex calendars, meetings, events, travel arrangements, expenses, and follow-ups • Prepare in advance to remove roadblocks, and escalate issues to ensure priorities are met with urgency and accountability • Be the team's subject matter expert on Outlook and Salesforce • Create and refine advanced Excel, PowerPoint, and reporting materials • Support internal communications, including newsletters, sales contests, and team updates • Lead operational onboarding for new sales hires, including equipment, systems, and process setup • Coordinate with clients, vendors, facilities teams, technology partners, and team members to ensure smooth operations
Job Requirements
- 5+ years in an Executive Assistant role supporting multiple leaders
- Maintain confidentiality while supporting executive‑level priorities
- Maintain momentum and organization amid competing demands
- Advanced proficiency with: Salesforce, Excel (advanced formulas, data manipulation), PowerPoint (executive-level presentations), Outlook
- High level of accuracy across complex schedules, documents, and operational processes
- Experience contributing to smooth and scalable administrative operations

Role Description The purpose of this role is to support the Chief Financial Officer (CFO) in day-to-day operations, strategic initiatives, and transaction-related activities. This position is designed for an experienced executive assistant with a strong foundation in corporate finance, M&A, and quantitative work, operating as a true extension of the CFO in a fast-paced, finance-driven environment. Duties and responsibilities - CFO Executive Support - Serve as a liaison between the CFO and internal leaders, external advisors, bankers, legal counsel, and other stakeholders. - Manage and protect the CFO’s calendar, prioritizing meetings, calls, and deadlines. - Manage the CFO’s email inbox, independently draft, respond to, and manage communications on behalf of the CFO with sound judgment and minimal oversight. - Anticipate business needs and proactively manage follow-ups, action items, and deadlines. - Make travel arrangements (business and personal), including researching and purchasing airline tickets, accommodations, rental cars, and reservations for meals. - Prepare, organize, and quality-check materials for executive, investor, and board meetings. - Act as a trusted gatekeeper for sensitive and confidential information. - Complete weekly expense report(s) for the CFO. - Perform any requested professional and/or personal ad-hoc projects delegated by the CFO. - Naturally takes ownership and pride in supporting both the professional and personal success of the executive. - Finance, Board & M&A Support - Assist with M&A activities including diligence tracking, data room organization, and coordination with internal and external teams. - Support the creation, organization, and quality control of management and board decks. - Review financial schedules, analyses, and presentations for accuracy, consistency, and completeness. - Track key deliverables related to transactions, financings, and strategic initiatives. - Maintain organized systems for financial documents, contracts, and transaction files. - Data, Analysis & Organization - Manage complex spreadsheets and reports with a high degree of accuracy. - Assist with basic quantitative analysis, reconciliations, and scenario inputs. - Ensure proper version control and organization of financial and executive materials.
