Role Description The Production Coordinator is responsible for managing orders and projects once they are entered into the Syncore system and a purchase order is required. This role is vendor-facing and execution-focused, ensuring orders move forward efficiently, accurately, and on schedule. This role does not sell, source, or manage client engagement. They receive fully approved, ready-to-execute work from primarily Account Coordinators and are responsible for managing production, vendor communication, timelines, proofs, shipping, and delivery. The objective is to keep work moving forward without rework or backward motion. Duties and Responsibilities - Order Management & Production Execution - Own all orders from the moment they are entered into Syncore and PO is required. - Review order details to ensure production readiness prior to vendor placement. - Issue purchase orders and manage all vendor communication related to production. - Ensure timelines, quantities, specifications, and pricing are executed exactly as approved. - Maintain momentum and prevent delays through proactive order management. - Vendor Coordination & Management - Serve as the primary point of contact with vendors throughout the production process. - Request, review & manage proofs, ensuring they align with approved artwork specifications. - Communicate proof status & approvals clearly to AC’s and clients as required. - Address vendor questions, issues, or production challenges efficiently & decisively. - Maintain strong vendor relationships rooted in clarity, accountability, and timelines. - Communicate vendor reviews, issues or concerns clearly with client-facing teams. - Client Communication & Order Updates - Communicate production updates, proofs, shipping confirmations, and tracking information to clients as directed. - Ensure clients receive timely, accurate updates without introducing new scope or changes. - Escalate issues/risks appropriately while maintaining a calm, professional client experience. - Ensure final delivery aligns with approved expectations and in-hands dates. - Quality Control & Problem Resolution - Monitor production progress proactively to ensure quality standards are always met. - Identify and resolve production issues, delays, or discrepancies quickly. - Coordinate with the Account Coordinator when changes or approvals are required, without disrupting upstream roles. - Document issues and resolutions to support continuous improvement. 1% better everyday! - System Accuracy & Documentation - Maintain accurate order records, timelines, and documentation within Syncore. - Ensure POs, invoices, shipping details, and production notes are complete and current. - Track production milestones to support visibility and accountability. - Operate with precision to reduce errors, rework, and friction. Key Job Responsibilities Event Pre-planning • Partner with the Project Manager, Account Manager, Creative, Sales Team and end client to design, pre-plan and manage all aspects of their expertise or discipline. • Complete necessary technical drawings, production plans, labor needs, budgets, equipment selection in R2, and interfacing with Mgr, Inventory Control & Systems, the warehouse leads, and sub rentals. • Assist and support the other PGE Departments as necessary by making recommendations on technology, processes, and methodologies. On-site Management/Operation • Manages their discipline meets or exceeds the client’s needs by managing the production plan, budget, and Encore production/safety standards. • Set and properly test technical components. • Operate designated equipment for the event, as needed. • Provides leadership to their assigned crew; such as: A2, V2, Master Electrician, Projectionist, and local union labor. Post-show Management • Responsible for post-show management to include: final labor, time sheets, expenses, sub rentals, and any equipment maintenance needs. • Complete reporting information and feedback from team to the Project Manager(s) for the post show jot form to document for client’s future events. Customer Service • Provides excellent service and strive to exceed the expectations and needs of internal and external customers. • Meets with clients on site as necessary to ensure that their needs are met and the equipment setup is working properly.
