Job Description

Executive Assistant – Revenue Management

Wing Assistant

• Manage the leader’s calendar and schedule recurring revenue meetings (KPI reviews, AR stand-ups, month-end checkpoints). • Arrange meetings with internal stakeholders and, as directed, with external parties. • Prepare agendas, pre-reads, supporting files, and talking points; ensure meetings start on time with required materials. • Capture decisions and action items during meetings; assign owners and due dates; maintain trackers until closure. • Maintain dashboards/logs for AR aging, DSO, denials, adjustments, cash receipts, authorizations, and open issues. • Produce executive-level notes, summaries, SOPs, and weekly/month-end revenue packets; create clean spreadsheets and slides using advanced Excel/Google Sheets functions. • Ensure documentation is version-controlled, organized, and audit-ready. • Maintain and refine meeting templates, trackers, SOPs, and filing structures. • Support audit readiness and surface blockers early with proposed next steps or decision requests. • Conduct limited external communication only when instructed; escalate substantive matters to leadership with context. • Maintain professional internal communication standards (clear, concise, action-oriented).

Job Requirements

  • 3+ years supporting senior leadership in finance, revenue cycle, or operations-focused EA roles
  • Financial literacy with practical experience in AR concepts (aging buckets, DSO, denials/appeals, write-offs, EFT/ERA)
  • Advanced Excel/Google Sheets skills (pivots, XLOOKUP/VLOOKUP, conditional logic); proficient in Word/Docs and PowerPoint/Slides
  • Strong written communication, attention to detail, and consistent deadline execution
  • Calm under pressure, organized, and able to maintain confidentiality of sensitive financial information
  • Tools/Software Experience Required:
  • Microsoft 365 and Google Workspace
  • Task/issue trackers (Asana, Trello, ClickUp)

Role Description Our client, a new and growing asset management firm, is seeking a highly capable and proactive Executive Assistant / Office Manager to support senior leadership, including the CEO, COO, and an additional Partner, while helping oversee day-to-day office operations across their offices in New York City and Westport, CT. This is a highly visible role for someone who enjoys wearing multiple hats and being deeply embedded in the business. The ideal candidate will be a self-starter who thrives in a fast-paced, entrepreneurial environment and takes pride in keeping executives organized, offices running smoothly, and culture thriving. This role offers flexibility and autonomy, with a strong emphasis on ownership, discretion, and partnership with leadership. This role will be ~2x a week in Westport, CT and 2x a week in Midtown. Responsibilities - Provide high-level executive support to the CEO, COO, and Partner, including calendar management, meeting coordination, travel arrangements, and expense processing. - Manage complex scheduling across multiple executives, proactively identifying and resolving conflicts. - Serve as the point person for office operations across NYC and CT, coordinating with building management, IT, and external vendors. - Oversee office logistics, supplies, and general upkeep to ensure a professional and well-run environment. - Partner with leadership to help build and maintain a strong internal culture, including team initiatives, events, and day-to-day engagement. - Assist with light Investor Relations support, including coordinating meetings, preparing materials, and tracking follow-ups. - Maintain internal systems, contacts, and documentation to support executive and firm-wide workflows. - Participate in team meetings and support cross-functional collaboration. - Take ownership of ad hoc projects and initiatives as they arise, always anticipating needs and next steps. Requirements - 2-3+ years of experience providing executive-level administrative support, ideally within asset management, financial services, or a fast-paced entrepreneurial environment. - Proven ability to support multiple senior executives with professionalism, discretion, and sound judgment. - Strong organizational and problem-solving skills with exceptional attention to detail. - Excellent written and verbal communication skills. - Comfortable interfacing with external stakeholders, vendors, and internal teams. - Adaptable, proactive, and able to operate independently with minimal oversight. - Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); comfort learning new systems as needed. - Bachelor’s degree required. - Experience supporting office operations and working with IT/building management strongly preferred. Benefits - $110-125K base (DOE) + discretionary bonus + great benefits. - 8:30/9am–5:30pm, with availability after hours as needed. - 1 x a week WFH - the rest split between Midtown & Westport offices.
