Virtual Assistant – Sales & Operations Support

Friendly Faces Senior Care

• Make outbound calls to prospective clients interested in staffing services • Follow up with leads and inquiries • Schedule discovery calls or meetings for leadership • Maintain accurate notes and updates in the CRM • Source and contact candidates for open staffing roles • Send outreach messages, emails, and make recruiting calls • Schedule interviews and maintain candidate tracking • Assist with onboarding coordination for placed candidates • Assist with organizing and preparing RFP responses for staffing opportunities • Track proposal deadlines and submission requirements • Maintain organized records of contracts and client documentation • Conduct service quality survey calls for our sister company Friendly Faces Senior Care • Contact a percentage of clients and employees to gather feedback on their experience • Perform surveys at key milestones including initial 24 hours, 7 days, and 30 days of service or employment • Collect feedback used to measure Net Promoter Score (NPS) and service satisfaction • Document survey responses and provide reports to management • Maintain organized records and documentation • Update internal tracking systems and spreadsheets • Assist with general operational and administrative tasks as needed

Job Requirements

  • Previous experience as a Virtual Assistant, administrative assistant, recruiter, or customer support representative
  • Strong communication and phone skills
  • Comfortable making outbound calls
  • Highly organized with strong attention to detail
  • Ability to manage multiple responsibilities and meet deadlines
  • Experience with Google Workspace, spreadsheets, or CRM systems preferred
  • Previous experience working for a staffing or recruiting agency is a plus

In this role as an Executive Assistant, you will apply sound judgement and a high degree of discretion in a variety of situations. You have impeccable verbal and written communications skills and demonstrate the ability to manage multiple priorities. Through your operations acumen, and critical thinking, you anticipate situations and needs, and provide solutions with a sense of urgency and high level of professionalism. Key Responsibilities Scheduling & Gatekeeper - Manage and maintain a constantly evolving calendar of the CEO based in North America as well as other Executive Leadership team members when needed; this includes internal / external face-to-face and virtual meetings globally - Serve as a liaison with internal staff and external partners at all levels - Time advocate and liaison creating efficiency and balance for the CEO’s schedule Travel Management - Book all domestic and international travel for the CEO including, transport, accommodations, and other travel needs Operations acumen - Apply understanding of Ontinue’s operations to support CEO/management effectiveness and responsiveness.
