That’s Ontinue. Your mission We are searching for a dynamic problem-solver with a “get it done” attitude to provide executive support to our CEO. In this role as an Executive Assistant, you will apply sound judgement and a high degree of discretion in a variety of situations. You have impeccable verbal and written communications skills and demonstrate the ability to manage multiple priorities. Through your operations acumen, and critical thinking, you anticipate situations and needs, and provide solutions with a sense of urgency and high level of professionalism. Key Responsibilities Scheduling & Gatekeeper - Manage and maintain a constantly evolving calendar of the CEO based in North America as well as other Executive Leadership team members when needed; this includes internal / external face-to-face and virtual meetings globally - Serve as a liaison with internal staff and external partners at all levels - Time advocate and liaison creating efficiency and balance for the CEO’s schedule Travel Management - Book all domestic and international travel for the CEO including, transport, accommodations, and other travel needs Operations acumen - Apply understanding of Ontinue’s operations to support CEO/management effectiveness and responsiveness. Administrative support - Manage expense reimbursement for the CEO - Other admin tasks as assigned Board preparation - Coordinate logistics for board meetings globally Projects - Organize internal and external events on behalf of the CEO and the Executive Team - Support the Executive Team on projects as required Requirements Experience - At least 5+years’ experience in a global EA role supporting C-suite Executives in a fast-paced environment and under pressure - Extensive experience of logistics management including complex schedules and international travel arrangements - Strong business acumen and understanding of operational priorities Skills - Strong self-starter that can take a task and run with it with limited supervision from the executive - Adaptable and able to work with limited information and ambiguity - Very strong interpersonal skills, particularly with executive and senior management both internally and externally - Acute attention to detail and commitment to delivering excellence in a fast-paced environment - Polished verbal and written communication skills at all levels, including when managing requests for CEO time - Proven ability to independently see projects through to completion - Ability to think creatively with a sense of urgency and adapt quickly to changing needs and priorities - Computer literacy and proficiency in using the Microsoft Office Suite - Ability to show flexibility and responsiveness to emails/texts/phone calls. - Availability to perform job duties outside of normal business hours when vital.
