Role Description The Philanthropy Associate provides essential support, focusing on administrative tasks that ensure the smooth operation and coordination of specific programs, projects, and initiatives. This role requires organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The position may report to more than one (1) direct supervisor. This position's work location is fully remote with occasional time on-campus in Brookline, MA. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI). - Administrative Support: Assist with day-to-day administrative tasks, including but not limited to, managing calendars, scheduling meetings, travel arrangements, mail management, and preparing meeting materials. - Data Management: Maintain and update organizational and management systems and databases, ensuring accuracy and confidentiality of information. Assist in generating reports as needed. - Communication: Prepare and edit correspondence, documents, reports, and presentations. Provide timely email and phone communication with internal and external stakeholders. - Financial Support: May include, but not limited to, P-card review and reconciliation, expense reimbursement processing. May assist with preparing donor acknowledgement and correspondence. - Event Support: May contribute to the logistical planning and execution of meetings, events, and programs. - Collaboration: May collaborate with colleagues on team-wide or Division-wide ad-hoc projects and initiatives. - Other duties as assigned. Qualifications - Strong written and verbal communication skills. - Strong customer service skills and the ability to interact professionally with peers, leadership, donors, and external contacts. - Proven ability to organize, prioritize, and follow-through on a variety of projects with minimal manager supervision. - Strong attention to detail with the ability to perform and complete tasks with accuracy. - Demonstrated ability to identify issues and proactively work to resolve problems. - Ability to maintain discretion and handle confidential information with care. - Proficient knowledge of Microsoft Office Suite. Requirements - High School or equivalent. - 1 year of experience required.
