Role Overview We are seeking a Administrative Assistant to support growing law firms with billing management and client communications. This role is essential in ensuring accurate, timely billing and maintaining professional client relationships. This is an excellent opportunity for a detail-oriented professional with hands-on legal billing experience who thrives in a fast-paced, virtual environment. Key Responsibilities - Billing Management: Manage and process billing cycles using Clio Manage, including time entries, invoices, and payment processing. - Accuracy & Tracking: Track billable hours and ensure data integrity across multiple legal matters. - Coordination: Act as a liaison between attorneys and clients regarding billing updates, inquiries, and reconciliations. - Collections: Proactively follow up on outstanding invoices and manage past-due payments. - Documentation: Maintain organized billing records and detailed logs of client communications. - Administrative Support: Assist with document management, scheduling, and professional correspondence via email and client portals. Required Qualifications - Education: Bachelor’s degree (Completed). - Technical Expertise: Direct, hands-on experience with Clio Manage (billing, timekeeping, or client management functions). - Industry Experience: Prior experience working within a law firm or legal services environment. - Remote Proficiency: Experience as a Remote Assistant or in a virtual professional role. - Communication: Excellent written and verbal English communication skills. - Reliability: A dedicated remote workspace with a reliable high-speed internet connection. Preferred Qualifications - Bilingual Skills: Proficiency in Spanish (written and verbal) is a plus but not required. - Multi-Attorney Support: Experience supporting multiple attorneys or departments simultaneously. - Industry Knowledge: Deep understanding of legal billing procedures and terminology. The position will be responsible for the transferring of clinical data, conducting pre-review screening of prior authorization requests, completing discharge documentation, and ensuring administrative supports are in place to meet required departmental deadlines in accordance with contractual, federal and accreditation standards. This position is full-time remote. Selected candidate must reside in North Carolina. Some travel for onsite meetings may be required. Responsibilities & Duties - Program Operations - Triage, process, and gather clinical information to build prior authorization requests that are received via email/fax into our electronic health record platform. - Support the UM department in ensuring notification to members and providers occur within required time frames. - Adhere to all HIPAA and organizational privacy and security policies to ensure confidentiality, integrity and protection of patient health information (PHI). - Utilize NC TRACKs to accurately verify member eligibility in support of clinical and administrative workflows. - Support high priority, time sensitive and daily procedural tasks such as pre-screening prior authorization requests, completing discharge documentation, responding and supporting providers, and related non-clinical activities according to policies, procedures and regulatory compliance guidelines. - Administrative Support Activities - Complete data entry (intake function) for prior authorization requests submitted by means other than electronic provider portal (E.g., Email, fax, phone). - Transfer of clinical information to facilitate Peer Review of prior authorization requests via the delegated vendor portal. - Gather clinical information to facilitate peer-to-peer review and re-review processes. - Respond to providers inquiries related to the status of a prior authorization request and UM operational procedures. Response time must be consistent with contractual and accreditation standards detailed in Policy and Procedures. - Reference and adhere to all applicable agency policies, operational procedures, desk procedures, and best practices to ensure compliance with regulatory requirements and contractual obligations through the accurate execution of job responsibilities. Qualifications - High School diploma and four (4) years of related administrative experience to include a minimum of two (2) years performing administrative support functions, preferably within a clinical, health information, or healthcare administrative setting. Requirements - Demonstrates consistent compliance in handling, accessing, transmitting, and storing sensitive clinical data and reports potential privacy or security concerns in accordance with established procedures. - Demonstrate strong technical aptitude and efficiencies in navigating multiple platforms/portals to support daily operations. - Knowledge of office management, including the ability to organize workflow and coordinate activities among department staff. - Ability to do calculation, summarize, compile and tabulate numerical material. - Ability to maintain work standards of programs activities and ability to analyze and correct errors. - Ability to maintain an effective working relationship with other employees and the public. - Proficiency with databases and the ability to navigate through SharePoint. - Knowledge of NC Tracks & Alliance Medical Records electronic system. - Ability to collaborate with multi-departmental and multi-unit teams. - Proficiency in Microsoft Office products (such as Word, Excel, Outlook, etc.) is required. Role Description JSSA is looking for a part-time weekend on call Scheduling Coordinator to support our Homecare department with scheduling Certified Nursing Assistants and/or Certified Medical Technicians to care for clients in the Montgomery County area. The schedule for this position is every other Friday from 5pm through Sunday at 8:30am. - Updates schedules in the system. - Prepares client information materials for caregivers, including schedule, address, client preferences, etc. - Notifies nurses of change in client status, care updates for caregivers, any and all injuries to clients (even outside care hours). - Handles new business referrals including entering relevant data, scheduling assessment, creating billing policy, etc. - Assists in coordinating services provided to clients, including scheduled hours, Uber services, agency services (social work, hospice, care management, medication management). - Controls and monitors schedule changes in a timely fashion. - Maintain updates in external databases as needed. - Quality control checks clock-in/out for caregivers to include time and location. - Ensure caregiver tasks are completed in a timely fashion. - Works with on-call company to handle all staffing needs outside of office hours. Qualifications - High school diploma - 2 years’ experience as a scheduling coordinator in Homecare or Home Health field. - Ability to manage routine office files, logbooks, and field staff schedules. - Computer literate with a high degree of proficiency in office automation programs. - Must possess positive, enthusiastic attitude, good people skills, and professional appearance. - Ability to work independently without constant supervision.
