• Analyze, prepare and input payroll data and employee updates including new hires, changes, employee Set‐up, direct deposit, wage garnishments, etc. • Assist with preparing and processing semi‐monthly payroll. • Sort and distribute paychecks when required. • Research and resolve problems regarding incorrect pay checks and other employee questions/problems. • Research and process manual checks in order to resolve payroll errors and discrepancies. • Serve as front line of support to assist operating management with payroll input problems and issues. • Provide system training when necessary. • Execute customer service operations by addressing employee inquiries, communicating company policies and information, and addressing payroll-related concerns. • Leverage sound decision-making skills while orchestrating day-to-day payroll operations, including filing documentation and responding to internal requests for information. • Maintain and file all payroll related records; maintain confidentiality of records. • Communicate professionally at all times with teammates. • All other duties as assigned.
Job Requirements
- High school diploma or GED.
- 1-3 years of experience in payroll administration or similar role.
- Strong understanding of payroll practices, taxes, and wage laws.
- Experience working in payroll/HRIS systems like UKG, ADP, Paycom or similar.
- Proficient on Microsoft Office applications, specially Excel.
- Excellent communication and customer service skills.
- High attention to detail.
- Ability to balance deadlines and accuracy in a fast-paced environment.
- Ability to work under pressure.
- High integrity and handle HR & payroll information with high degree of confidentiality.
- Team Player.

JOB PURPOSE AND SUMMARY: The Total Rewards Payroll Specialist is responsible for daily payroll operations, including but not limited to time and attendance, payroll processing, taxes, and reporting. Additionally, this position supports the administration, communication, and overall effectiveness of TOI Total Rewards programs. This position is fully remote, and works on an Eastern time schedule (8 am - 5 pm Eastern time, Monday - Friday). ESSENTIAL DUTIES AND RESPONSBILITIES: Payroll (75%) - Coordinate with stakeholders to ensure non-exempt (hourly) teammate’s regular and overtime hours are accurately entered and processed each period. - Work with HR Business Partners and managers to review and approve timecards, making corrections as necessary. - Prepare and enter additional compensation and payroll change requests each period. - Review and determine appropriate tax withholdings for various payment types. - Lead the review and processing of bi-weekly payroll across all TOI entities. - Coordinate with Teammate Services Operations (TSO) to ensure accuracy of pay for new hires, teammates on leave, and terminations. - Identify payroll related issues, consult with Total Rewards/HR Operations team as needed. - Review and upload 401(k) contributions report to recordkeeper after each payroll. - Provide exceptional customer service and support to TOI teammates. - Provide timely follow up and resolution to address questions from teammates and managers. - Prepare off cycle payroll as needed for final check requests, missed payments, or corrections. - Receive teammate withholding orders and upload to ADP for processing. - Direct teammates to ADP Garnishment team as needed to ensure timely follow up. - Review and upload tax and unemployment notices to ADP Smart Compliance. Verify tax deposits comply with required deadlines to avoid penalties. - Ensures that unemployment taxes withheld comply with limitations. - Research discrepancies as needed. - In partnership with TSO, review all location transfers and address changes for employees to ensure proper local taxes are set up. - Track and manage payroll tickets in ZenDesk ticketing system, coordinate with team as needed to address open requests. - Assist with ad hoc payroll reporting requests in a timely manner. - Consult with external payroll resources as needed. - Continuously evaluate payroll processes, make recommendations for improvements, and contribute to the development of SOP documents. - Assist with ongoing/quarterly audits to review benefits enrollment data across various systems. - Establish and maintain effective work relationships within the department, company, and vendors; maintain a positive, respectful, and productive work environment. Enter deductions changes into payroll system in a timely manner. - Use enrollment change reports to update ADP with the latest deduction changed due to new hire open enrollment, qualified event changes, and termination. - Assist in answering teammate benefits questions, consulting internal and external resources as needed to help address questions related to TOI benefits and policies. - Collect, prepare, and review monthly benefits invoices for payment. - Coordinate with Accounting to address any payment related questions, as needed. - Create and distribute monthly FSA/COBRA funding reports for accounting team. - Participate in special projects as needed, support annual benefits open enrollment process. Role Description The Manager, HRIS & Payroll plays a key leadership role within the Total Rewards team, providing strategic oversight of the company’s Human Resources Information System (HRIS) and leading the payroll function.
