Title: Community Music Program Coordinator Location: Shepherdstown United States Job Description: Posting NumberS404P Working TitleCommunity Music Program Coordinator FLSANon-Exempt Pay Grade3 Advertised Salary16.78/hour Position StatusPart Time Appointment Length11 Months DepartmentSchool of the Arts and Media Job Summary/Basic Function The Part-Time Community Music Coordinator provides day-to-day administrative and operational support for Shepherd University’s Community Music Program. This position coordinates program logistics, supports communication with students, families, instructors, and community partners, and helps ensure a welcoming, organized, and responsive experience for all participants. The coordinator plays an important role in sustaining a high-quality community-facing music program that supports outreach and strengthens ties between Shepherd University and the region. Minimum Qualifications - Associate’s degree or equivalent combination of education and relevant experience. - Strong interpersonal, written, and verbal communication skills. - Demonstrated organizational skills and attention to detail. - Demonstrated ability to use a personal computer and standard office software for communication, scheduling, and recordkeeping. - Ability to work effectively with children, families, adult learners, faculty, staff, and community partners. - Ability to manage multiple schedules, deadlines, and communications simultaneously. - Ability to work independently while also collaborating closely with faculty and staff. - Sensitivity to working with a broad range of ages, from children to adults, in a community-facing educational environment. Preferred Qualifications - Bachelor’s degree or substantial progress toward a bachelor’s degree. - Experience in arts administration, community programming, customer service, or a related field. - Demonstrated ability to learn and manage database or registration software. - Demonstrated history of collaborative problem solving and effective coordination of multiple tasks. - Familiarity with music study, music instruction environments, or community arts programming. Job Duties Description of Job Duties Coordinate staffing, promotion, and registration of Preparatory lessons and ensembles and summer music camps. Includes assigning instructors, student assistants, and payments and registration mailings. Coordinate Preparatory instructors for orchestra, Early Childhood Music, applied lessons, and hiring of accompanists for Preparatory recitals. Coordinate communications and marketing for the Preparatory Division with parents, students, and instructors. Includes brochures and flyers, social media updates, and website information updates. Coordinate scheduling of Preparatory Division events, including calendar, auditions, and recitals. Coordinate Preparatory Division database entry and updating of records. Coordinate purchase/rental of music and other materials for the Preparatory Orchestra. Other duties as assigned.
