Role Description This position is responsible for managing all phases of the proposal development process including requirements review, interpreting and planning of new business opportunities including, but not limited to, government and commercial requests for proposals (RFPs), requests for quotes (RFQs), requests for information (RFIs) under managerial direction. This position will be a contributing participant in strategic sales meetings, collecting information, writing proposals within specified formats, and ensuring that all requirements of the proposal process are completed with the goal of tailoring information to the client while having our company’s best interest in mind. Assignments are deadline-driven so candidates must be able to set priorities, take ownership of their work, handle multiple projects simultaneously, demonstrate time management, and provide a consistent level of quality and accuracy in the fast-paced, high-pressure environment of a software solutions business. The ability to meet deadlines, strong writing skills, a commitment to teamwork, and detailed follow-through, will be key to success in this role. Experience with RFP automation software is preferred. - Coordinate, organize, and write high-quality proposals in conformance with solicitation requirements and other established guidelines ensuring that the company’s technical solution is clearly communicated in a persuasive business proposal. - Manage all phases of the proposal process, including finding new RFP opportunities, assessing requirements, leading bid/no-bid meetings, proposal strategy planning, leading RFP Response Kickoff, managing team member assignments, content writing and development, internal review, production, and post RFP submission follow-up. - Ensure all required compliance and regulatory restrictions are met. - Assemble the final text, graphics, exhibits and supporting documents into an attractive package for a client. - Lead development, collection, and review of clarifying questions to be submitted to the customer based on RFP requirements. - Convert technical data and other complex software concepts into easily understandable content. - Proofread and edit proposals to ensure accuracy, exceptional grammar, clarity, and focus. - Create professionally formatted documents and presentations, incorporating text, tables, charts, graphics, and diagrams. - Collect and document business project data from SMEs and various departments including sales, operations, and finance departments, and through independent research. - Follow up with team members to get feedback and revisions and ensure that the proposal development stays on schedule. - Monitor RFx for amendments and extensions that could impact schedule and requirements. - Maintain all draft and final RFP back-up documentation. - Communicate effectively with leadership and staff throughout the entire lifecycle of the proposal, both pre- and post-RFP. - Provide a quality assurance check for all required document deliverables. - Track and report annual proposal win/non-win information to help evaluate the performance of our business development proposal process. - Maintain a library of document templates to standardize and streamline proposal creation. - Manage the RFP content library within Loopio. - Research and stay abreast of relevant industry statistics and data. - Support other writing, editing, and marketing projects as needed. - Assist sellers with leads, opportunities, and upcoming RFPs from RFP services such as GovWin or Bidnet. - Coach and train the overall team on RFP response best practices. - Work independently, multi-task with minimal supervision to manage the assigned team members so they adhere to deadlines and quality standards. Qualifications - Bachelor’s degree in English, Journalism, Communications, Marketing, or a related field. - Minimum 5 years of relevant experience in proposal management, technical writing and responding to RFPs. - Familiarity or prior experience in the public sector is highly desirable. - Knowledge and experience using Salesforce. - Experience with Loopio, RFPio, or other RFP automation software. - Experience locating and vetting potential RFx opportunities in bid services such as GovWin or BidNet. - Extensive Microsoft Word and Excel experience as well as Adobe PDF editor and DocuSign. - Superior verbal communication/interpersonal skills. - Strong research, writing, proofing, formatting, and editing skills. - Excellent technical writing skills including grammar, spelling and punctuation. - Solid time management and multitasking skills, with the ability to manage various competing deadlines. - Strong comprehension, organization and prioritization skills required. - Rigorous attention to detail. - Experience with graphic design software a plus. - Establish and maintain the SharePoint collaboration site for each proposal and manage the final folder that needs to be added to the Sharepoint to include the original RFx Docs and the final response. - Knowledge of the best proposal-writing practices in the industry and the ability to implement them. - Ability to work seamlessly with cross-functional, remote team members. Role Description The Customer Success team is responsible for the relationship between Omnigo and our customers. This critical function is responsible for engaging with our customers to drive adoption and demonstrate ongoing value to ensure high customer retention. The Customer Success Manager is a key member of the organization as it acts as the overall facilitator for customer communications and ultimately owns the account relationship.
