• Calendar Management: Strategically organize, prioritize, and maintain the CEO’s schedule to maximize productivity and minimize conflicts. • Meeting Coordination: Prepare agendas, manage meeting logistics, and document Minutes of the Meeting (MOM) and follow-ups through Microsoft Teams (HIPAA-compliant). • Task & Project Tracking: Maintain and monitor to-dos and ensure timely completion of all action items. • Communication Oversight: Draft, proofread, and manage correspondence with professionalism and accuracy. • Operational Support: Handle day-to-day administrative tasks, scheduling requests, and information flow between internal and external stakeholders. • Follow-Through: Anticipate needs, track commitments, and ensure deliverables are completed on time. • System Efficiency: Utilize technology tools to streamline processes and improve coordination.
• Source qualified candidates for roles such as: Home Care Virtual Assistants, Bookkeepers, Executive Assistants, Other client-specific roles • Screen resumes and conduct initial interviews • Coordinate and assist in final interviews • Manage and update candidates in the ATS (Applicant Tracking System) • Conduct reference checks and background verification • Prepare and track pre-training requirements for endorsed candidates • Ensure smooth coordination between candidates, hiring team, and internal departments • Maintain organized documentation and recruitment trackers
• Own and lead all digital marketing, growth, and lead generation efforts across channels, ensuring consistent and measurable results aligned with company growth goals. • Develop, execute, and continuously optimize data-driven marketing strategies that generate qualified leads, sales meetings, and recruitment applications. • Assess and improve all marketing assets, systems, funnels, and campaigns, identifying gaps and implementing actionable enhancements in branding, messaging, and conversion performance. • Manage and optimize GoHighLevel CRM, including automations, pipelines, nurture campaigns, and reporting systems that support scalability and visibility. • Plan, launch, manage, and optimize paid advertising campaigns across Facebook, Google, and LinkedIn with clear accountability for performance and ROI. • Plan and execute webinars and virtual events that drive lead generation, authority building, and partnership opportunities. • Design and execute recruitment marketing and employer branding initiatives to attract and convert high-quality virtual assistants. • Oversee and strengthen the company’s digital presence, including Google My Business and all relevant online platforms, ensuring brand consistency and visibility. • Collaborate with leadership to design and roll out marketing initiatives supporting client acquisition, franchise partnerships, affiliate programs, and other growth initiatives. • Provide strategic direction and oversight to the Digital Marketing Specialist and other marketing contractors, ensuring alignment with strategy, standards, and performance expectations. • Support hands-on campaign execution as needed, particularly during pilot initiatives, transitions, or high-impact launches. • Define, track, and report on key marketing KPIs through dashboards and performance reports, driving accountability, insights, and continuous optimization. • Plan and execute strategic marketing campaigns aligned with CEO participation in U.S. conferences and industry events to maximize visibility, lead generation, and partnership opportunities.
