• Lead data processing and workflow optimization projects from documentation, scheduling, delegation, and testing • Liaise with IT and other technical resource support in meeting project goals and rollout deadlines • Delegate and lead project tasks based on team members’ individual strengths, skill set and experience level • Track project progress, post go-live performance and successful completion of short- and long-term goals • Lead accurate execution and delivery of specific recurring reports (i.e. Gross Applications, Registrations, YOY data comparison, etc.) • Assist with daily tracking, reporting, and ongoing quality assurance checks and measures of ongoing data updates of student information, along with specific QA/reporting needs per time of year • Effectively execute system audits and analyses; Recommend creation of strategic quality assurance system queries and efforts • Effectively lead Admissions Acuity and Web Form Appointment flow, ensuring daily appointment availability and cap are in sync with Admissions Specialists’ work schedule • Collaborate with department leadership to ensure all University and Admissions programs data processes are accurately and timely planned and executed • Work side-by-side with AOS Management Team to monitor and manage all aspects of service levels optimization and all other quality assurance standards • Serve as backup for other AOS Technical and Database partners on reporting, operations, and project needs • Effectively address operations and data issue resolution, recommend and lead stop gap and long-term solutions • Partner with Department Manager in leading onsite and offsite Admissions Events / Open House real time data updates, application processing, tracking and timely results reporting • Support and serve as AOS Manager’s back up in leading all aspects of streamlined communication and daily operation needs for the department • Support VP of Admissions Operations in effectively executing ad hoc data reporting preparations and documentation
• Work with Directors of Enrollment to identify training needs and formulate training tools, processes, and strategies to meet those needs. • Conduct new hire onboarding for Admissions staff working with students throughout the student lifecycle. • Assist with the development, organization, and maintenance of training manuals, visual aids and other educational materials as it relates to programmatic information, time management, enrollment management technology, the admissions pipeline and process, outreach throughout the student lifecycle and retention best practices. • Monitor and evaluate the effectiveness of training programs by providing ongoing training support and training sessions for the Admissions staff. • Collaborate with supervisor to evaluate Admissions and staff performance and provide individual coaching and training programs as needed. • Design and deliver scalable learning programs across onboarding, compliance, functional, and professional skill areas. • Ensure learning initiatives support key business priorities, transformation efforts, and operational effectiveness. • Promote learning programs through clear, consistent communication. • Ensure employees understand available learning opportunities and how to access them.
• Provide direct leadership and oversight of admissions directors and managers • Establish and communicate clear expectations related to performance, accountability, professionalism, and student experience • Build and maintain a collaborative, results-oriented culture focused on both performance and team development • Hold admissions directors and managers accountable for achieving enrollment goals, conversion targets, productivity expectations, and service standards • Oversee day-to-day admissions execution to ensure alignment between strategy and frontline activity • Collaborate with Enrollment Operations, Marketing, Financial Aid, Student Services, International Admissions, and other departments to support enrollment growth and improve the prospective student experience
• Participate in analysis, design, testing, documentation, modification and implementation of Academy of Art University’s enterprise-wide PeopleSoft applications • Determine business and reporting requirements, working with the end-user community, and translate into technical specifications for development • Develop, test, and document PeopleSoft upgrades, customizations, enhancements, and reports • Provide pre- and post-PeopleSoft implementation/upgrade technical evaluation and support • Provide PeopleSoft application production support • Evaluate, advise and implement best practices in the integration and exchange of data between PeopleSoft and other Academy of Art University systems including but not limited to Bright Space LMS and Salesforce • Train end-users and technical staff as needed • Recommend changes in development, maintenance, and system standards
• Lead and manage the Student Financial Services team, including hiring, coaching, and performance management • Oversee all aspects of student financial support, including Financial Aid, Veteran Affairs, alternative loans, international payments, and cash payments • Build and track meaningful production, quality, and customer service metrics to drive team success • Partner closely with Admissions to support incoming students and ensure a smooth onboarding experience • Collaborate with Student Services to meet the ongoing needs of continuing students • Work cross-functionally with IT to enhance systems and improve team efficiency • Contribute to the Student Services Committee to align financial services with the academic mission • Foster strong collaboration across departments to create a cohesive, student-centered experience • Develop and monitor KPIs to ensure timely, accurate communication with prospective and current students • Partner with CMD to maintain high-quality service standards
