Job Description: Assistant Director of Conference and Event Services Location: Lasell University - Newton, MA 02466 Position Type Full Time, Hybrid Job Description: Position Summary The Associate Director of Conference and Event Services support the planning, coordination, and execution of campus events, conferences, and external rentals. This role contributes to delivering high-quality event experiences while ensuring alignment with institutional standards and operational priorities. The Associate Director works closely with internal and external campus partners and clients to facilitate successful events and provides day-to-day oversight of event operations. In addition, this position supports the Executive Director in aspects of university property management related to conference housing, leased properties, and university-managed spaces, as well as select operational coordination for campus services, ensuring efficiency, strong customer service, and adherence to university policies. Key Responsibilities Event Planning & Coordination - Coordinate logistics and execution for a wide range of campus events, including academic programs, summer conferences, and external rentals. - Support the planning and implementation of signature institutional events such as commencement, Board of Trustee meetings, and VIP visits. - Prepare event details, timelines, and operational plans to ensure smooth execution. Operational Management - Manage event scheduling and space reservations using the university's event management system (e.g., EMS) and overseeing the planning, logistics, and execution of campus events, including summer camps, academic conferences, and external rentals. - Assist in managing client and tenant communications, including move-in/move-out coordination and general inquiries. - Ensure events are conducted in compliance with university policies, safety protocols, and applicable regulations. - Assist with developing event pricing estimates and confirm final event billing details. - Coordinate contract documentation, insurance requirements, and vendor logistics in collaboration with leadership. - Support client invoicing and payment collection processes with business office staff - Support lease and housing-related processes, including documentation, occupancy tracking, and communication with tenants or program participants. - Coordinate with Facilities, Housekeeping, and key stakeholders to address maintenance needs. Team Leadership - Provide guidance and day-to-day direction to event organizers and student employees. - Support a collaborative, service-oriented team environment. Client & Campus Relations - Serve as a primary point of contact for internal departments and external clients. - Collaborate with Facilities, Housekeeping, Dining Services, Campus Police, IT, and other key stakeholder departments to support event, housing and meeting needs. - Address client and tenant inquiries and resolve operational issues to maintain a high level of service. Technology & Data Management - Maintain accurate event and housing data within the event management system (EMS) and related tracking tools. - Generate reports related to space utilization, occupancy, event activity, and client growth, retention, and satisfaction - Identify opportunities for process improvements across events, housing, and operations to enhance efficiency and service delivery. Qualifications Required - Bachelor's degree in Hospitality, Business Administration, or related field. - Minimum 2-4 years of progressive experience in event or conference services, property management, housing operations, logistics operations, or a related field, preferably in a higher education setting. - Strong organizational skills and attention to detail. - Excellent communication and negotiation skills. - Proficiency in Microsoft Office Suite and spreadsheet applications (e.g., Excel or Google Sheets) Preferred - Experience with event management software (e.g., EMS, 25Live). - Experience supporting residential or housing operations, logistics, or distribution services. Work Conditions - Evening and weekend work required based on event schedules and operational needs. - Ability to move between campus venues, residential properties, and lift up to 25 lbs. Title: Gift Processor, Part Time Location: Lasell University - Newton, MA 02466 Job Description: Overview Salary Range $23.50 - $25.50 Hourly Position Type Part Time Education Level High School JOB DESCRIPTION Department: University Advancement Reports to: Director of Strategic Operations for University Advancement Employment Status: Part-Time/12 Months Lasell University seeks an experienced and collaborative part-time Gift Processor to join the University Advancement (UA) team during an exciting period of growth. Under the leadership of our 10th president, Eric M. Turner, Lasell is undertaking its largest campaign in the university’s history. The Gift Processor is an essential member of the UA and is an exceptional, solutions-oriented professional, responsible for processing gifts and tax receipts in a timely and accurate way. In addition, the Gift Processor contributes to the quality of data in Lasell’s CRM database (NXT Raiser’s Edge) by updating donor records and information as needed and other related duties as assigned. This position is part-time and reports to the Director of Strategic Operations for University Advancement. The ideal candidate will have demonstrated success maintaining processes related to all high-level, complex giving streams including giving from third-party vendors, matching gifts, wires and stocks. This role requires excellent customer service skills and an ability to maintain appropriate confidentiality of sensitive donor information. This position requires exceptional attention to detail, independent judgment and discretion, strong communication skills and ability to take initiative and follow up when information is needed. This person is expected to have or quickly develop a thorough understanding of Internal Revenue Service (IRS) gift regulations, accepted gift standards and procedures, and fundraising database processes. PRINCIPAL DUTIES AND RESPONSIBILITIES: The statements below are intended to describe the principal duties of the person or persons assigned to this job. Lasell University has the right to add or change the job responsibilities at any time. - Process gifts timely and accurately. - Ensure proper documentation of donor intent for all giving for stewardship and audit purposes. - Coordinate the transfer of checks and cash from University Advancement to the Business Office for deposit. - Coordinate with Lasell’s Mailroom to obtain mail in a timely manner. - Generate, edit, proofread, and mail tax receipts to donors. - Generate and mail pledge reminders upon request. - Produce daily and weekly gift reports for front line fund raisers and stewardship purposes. - Prepare reconciliation reports for Lasell’s Business office. - Liaise with Lasell’s Business Office to exchange information about wire transfers and stock giving. - Edit and update information in Lasell’s CRM (Rasor’s Edge) to ensure data integrity. - Other duties as assigned. Qualifications MINIMUM KNOWLEDGE AND SKILLS REQUIRED BY THE JOB: Minimum Education level: High school. Computer skills: Proficiency and experience with gift processing CRMs, particularly Raiser’s Edge. Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel also desired. Other Requirements of the Job: - Ability to work during the first two weeks of July and the last week of December and first week of January (not including Christmas and New Year’s days which are holidays) as these are peak times for gift processing at Lasell. - Must work autonomously as well as interact effectively as a team member. - Ability to adapt one's communication styles, approaches, and skills in a manner that reflects an appreciation for, and commitment to, our increasingly diverse workplace and alumni community. - Must maintain the highest ethical standards for confidentiality.
