Role Description As our Maintenance Coordinator, you will be the operational heartbeat of daily property operations. Working hand-in-hand with your Pod Leader and other coordinators, you will ensure maintenance requests move efficiently from initial contact to completion. You will serve as the critical bridge connecting our residents, property owners, and trusted external vendors. An ideal candidate is organized, dependable, detail-oriented, and approachable, with strong communication skills and the ability to balance administrative responsibilities with fast-paced maintenance coordination. Key Responsibilities - Maintenance Coordination & Property Support - Work Order Management: Monitor, create, and update new, recurring, or inspection-related work orders (including HOA and housing agency notices). - Triage & Troubleshooting: Evaluate the scope, urgency, and safety impact of requests, prioritizing habitability risks like gas issues or water leaks. Guide tenants through simple troubleshooting steps (e.g., GFCI outlets, garbage disposals) before dispatching help. - Vendor & Owner Liaison: Identify vendor needs, coordinate external service providers, request estimates, and secure owner authorizations or funds when necessary. - Vacancy Turns: Assist pod leaders in monitoring turn-related work orders to get vacant units market-ready on schedule. - Follow-Through: Track work orders through completion, tackle aging tickets (30+ days open), review vendor invoices for accuracy, and assist with routine property inspections. - Communication & System Organization - Inbox & Call Mastery: Manage personal and pod inboxes daily, route incoming calls, and follow up promptly on all communications. - Data Integrity: Document issues clearly with robust notes and photos, keeping all tenant, owner, and property records immaculate in our systems. - Process Adherence: Follow company Standard Operating Procedures (SOPs) and maintain organized daily workflows via smart time blocking. - Team & Professional Development - Participate actively in team meetings and training sessions. - Support your pod operations and mentor incoming team members by sharing best practices. Role Description This isn't a desk job where you check boxes. As a Pod Leader, you are the strategic anchor for an entire portfolio. You will lead a team of coordinators overlooking leasing, maintenance, and residential services. Your job is to drive the portfolio’s revenue and be the expert voice our owners trust. Core Responsibilities - Strategic Communication & Relationship Management - Owner Consultation: Serve as the primary point of contact for property owners, providing expert advice on strategy, market positioning, and financial performance. - Complex Tenant Negotiations: Directly handle high-level tenant escalations, legal disputes, and sensitive communications. - Onboarding & Offboarding: Lead the strategic transition of properties into or out of the portfolio, ensuring all internal teams are aligned and the owner’s expectations are managed. - Maintenance & Turn Oversight - Turn Management: Oversee the "turn" process (the transition between tenants), ensuring maintenance teams and vendors meet deadlines to minimize "Days on Market." - Project Approval: Review and approve maintenance bids and capital improvement projects, ensuring they align with the owner’s budget and long-term asset goals. - Operational Command & Pod Supervision - Team Oversight: Monitor the daily output of your three-person pod (Leasing, Resident Services, and Maintenance) to ensure all workflows meet company KPIs. - Quality Control: Conduct final reviews of move-out dispositions and security deposit allocations to ensure legal accuracy and owner protection. - Workflow Accountability: Ensure the pod maintains a "one business day" communication standard and adheres to all ORS Chapter 90 legal timelines. Qualifications - Communication Mastery: Native-level English proficiency is required to manage complex legal and financial discussions with property owners. - Leadership Experience: Proven ability to manage a team and delegate effectively while maintaining ultimate accountability for the results. - Regulatory Knowledge: A strong understanding of (or ability to rapidly master) Landlord-Tenant laws and local ordinances. - Performance Drive: A background in property management and pay structures tied to portfolio-wide financial outcomes.
