Role Description The Offshore Financial Controller serves as a key financial leader responsible for overseeing accounting operations, financial reporting accuracy, internal controls, and process optimization across a multi-market luxury short-term rental platform. This role partners closely with executive leadership to ensure reliable financial data, scalable systems, and strong fiscal discipline as the organization grows. The Controller manages month-end close, cash flow oversight, revenue reconciliation, expense control, and financial performance reporting while driving continuous improvement in accounting workflows and controls. This position requires strategic thinking, ownership mentality, and the ability to lead remote accounting operations in a complex, high-volume hospitality environment. - Lead and manage the full month-end and year-end close process - Maintain client relationship through responding to financial questions - Oversee cash flow management, forecasting, and working capital planning - Review and approve revenue, expense, and balance sheet reconciliations - Oversee payroll processing controls and financial impact review - Develop and implement financial controls, policies, and accounting procedures - Partner with executive leadership on financial strategy and performance analysis - Assist in tax planning and coordinate annual tax preparation with external advisors - Ensure compliance with U.S. GAAP (or applicable standards) and regulatory requirements - Lead accounting system optimization initiatives - Design and improve scalable finance processes for a large property portfolio - Ensure financial reporting infrastructure supports operational growth - Oversee onboarding of new properties from a financial systems perspective - Ensure records meet audit, investor, and regulatory standards Qualifications - Bachelor’s degree in Accounting, Finance, or related field (CPA or equivalent certification strongly preferred) - 7–10+ years of progressive accounting and finance experience - 3+ years in a senior accounting leadership or controller-level role - Experience supporting U.S.-based companies required - Experience in hospitality, short-term rental, real estate, or multi-entity environments strongly preferred - Strong command of U.S. GAAP and internal control principles - Advanced expertise in Sage Intacct or similar accounting systems - Advanced Excel proficiency, including financial modeling and variance analysis - Experience leading full month-end and year-end close processes - Experience managing cash flow forecasting and working capital planning - Experience overseeing multi-state sales tax compliance - Experience coordinating annual tax preparation with external advisors - Familiarity with property management systems (e.g., Guesty or similar) a plus - Demonstrated ability to design and improve scalable finance processes - Strong written and verbal English communication skills - Ability to maintain consistent overlap with U.S. business hours - Demonstrated leadership, ownership, and strategic financial thinking - High level of discretion, accountability, and executive-level partnership capability
Guest Services Manager

Facilities Project Manager

• Own the full lifecycle of CapEx projects across Heirloom properties, from initiation and scoping through execution, punch-list resolution, and closeout. • Collaborate with maintenance technicians and operations managers to assess property conditions, determine project scope, and define deliverables with clear acceptance criteria. • Develop project timelines, budgets, and milestones; track progress and report status updates to stakeholders on a regular cadence. • Ensure projects are delivered on time, within budget, and to Heirloom’s quality standards. • Maintain organized project documentation including scope of work, contracts, change orders, invoices, and completion reports. • Source, vet, and coordinate with third-party vendors and contractors to execute project work across all markets. • Obtain and critically evaluate bids and proposals, identify missing line items, unreasonable pricing, or scope gaps, and negotiate terms that protect Heirloom’s interests. • Schedule and dispatch vendors for on-site work; follow up on task completion, quality of work, and adherence to timelines. • Build and maintain a reliable, performance-tracked vendor network across Heirloom’s operating markets. • Serve as the primary liaison between the offshore project management function and on-the-ground field staff, including maintenance technicians and market operations teams. • Coordinate site visits, inspections, and punch-list walkthroughs with field personnel to ensure project requirements are met. • Communicate project updates, schedule changes, and escalations clearly and promptly to all relevant stakeholders. • Proactively surface stalled tickets, aging work orders, and at-risk timelines before they escalate into larger problems. • Review replacement tickets and input requisitions into tracking spreadsheets for procurement and budgeting purposes. • Generate and submit purchase orders for project-related materials and supplies. • Track project expenses and support invoice processing to ensure accurate financial reporting to the finance team. • Send stakeholders regular project status reports, including updates on open tickets, budget variances, and timelines. • Update essential work order attributes on a daily basis in preparation for dispatch and project tracking. • Prepare and distribute vacancy reports, open ticket reports, and project status dashboards to internal and external stakeholders. • Assist with database creation, updates, and maintenance to support operational workflows. • Collaborate on software and automation initiatives to improve project management and reporting efficiency.
Cash Management Specialist

Overview The Offshore Cash Management Specialist is responsible for executing and managing daily cash transfers across a complex network of bank accounts and bank institutions to ensure financial efficiency across the company’s multi-entity luxury short-term rental portfolio. This role plays a critical part in maintaining proper cash positioning to support payroll, vendor payments, property-level expenses, tax obligations, and debt service requirements. The ideal candidate is highly detail-oriented, process-driven, and comfortable operating within established internal controls while handling sensitive financial transactions. This position requires strong organizational discipline, real-time responsiveness, and the ability to coordinate closely with accounting and leadership teams to ensure seamless cash flow management. • Assist with completion of monthly bank reconciliations. • Review and record revenue. • Support and complete a variety of accounts payable and accounts receivable functions, including entering in bills and invoices. • Review and record all mortgage and utility payments. • Assist with the maintenance and reconciliation of company balance sheet and general ledger accounts. • Assist with cash flow needs by ensuring that outstanding balances owed to the management company are paid in a timely manner. • Assist with monthly and quarterly financial reporting. • Performing additional duties and completing special projects to assist the finance department on an as-needed basis.
