Purpose A financial advisor promotes chapter financial wellness by ensuring executive council officers understand and maintain sound financial management practices and assigned Financial department officers uphold their responsibilities and achieve their goals. She uses her experience, leadership and coaching skills to help collegiate officers in the Financial department develop as sisters and leaders. Responsibilities - Mentor and coach Financial department officers by leading educational conversations that prepare them to embrace the roles and responsibilities of leadership and develop Gamma Phi Beta’s member competencies. - Encourage and reinforce chapter, Financial department and officer success on a consistent basis by reading monthly officer reports and following up to determine best solutions and praise accomplishments. - Advise the financial vice president(FVP) and the chapter on the annual creation of the chapter budget. Ensure the budget is entered into OmegaFi and submitted to Beta Base before the end of the academic year. - Ensure no member has a past due balance by reviewing the OmegaFi Outstanding Balances Report on a monthly basis. Follow up with the FVP to hold members accountable to their financial commitment to the Sorority. - Review the OmegaFi Budget Variance Report monthly, follow-up with officers on budgetary spending concerns and monitor prepaid card transactions monthly to ensure appropriate spending by officers and coding by the FVP. - Promote sound financial management practices by holding the chapter accountable to filing their IRS 990 or an extension by the deadline, creating and maintaining a chapter savings account, addressing old debt and adhering to all International Gamma Phi Beta Policies and Procedures. - Meet regularly with the FVP to build a relationship, establish expectations, review progress on goals and hold her accountable to her responsibilities, and also serve as a resource to the FVP and Financial department officers through ongoing communication. - Contribute to and foster open communication throughout the chapter, facilitate conflict resolution and coach collegiate members to do the same. - Hold the FVP and her department accountable to setting and working toward goals that promote improved chapter operations or culture and completing the Financial department expectations as outlined in Order of the Crescent. - Complete ongoing training and development, review the Financial department officer and advisor resources and attend Financial department officer and advisor training. - Represent the financial interests of the chapter by serving as an active member of the chapter’s advisory board and ex-officio member of the affiliated house corporation (AHC). - Collaborate with assigned finance supervisor to ensure healthy chapter financial operations and address finance-specific challenges as they arise. Expectations - This role requires five to 15 hours per week on average. - Travel: Volunteers in this role will be expected to travel up to two days per year. - Learn and utilize Beta Base (chapter reporting system) and OmegaFi (financial management platform) for assigned chapter. - Complete all Fidelity volunteer online lessons and OmegaFi training. - Conduct training conversations with chapter advisor and finance supervisor within six weeks of appointment. - Attend all advisory board meetings, retreats and calls. - Attend financial department meetings, and, as requested by the chapter advisor, chapter business meetings, executive council meetings, executive council hearings, AHC meetings, nominating committee meetings and chapter officer retreats. - Respond to all communication within 48 hours. - Be in good standing by paying international alumnae dues or being a Life Loyal member. Role Description The member milestones specialist supervisor is responsible for overseeing the operation of the member milestones team. - Annually determine the number of specialists needed to hire based on anticipated returning specialists. - Conduct hiring with the director of alumnae engagement to fill open team member positions. - Assign member milestone specialists to 50- and 75-year members to be contacted. - Serve as the main point of contact for member milestone specialists. - Onboard and train member milestone specialists as needed. - Host a call for all member milestone specialists two additional times per year to get the team together at the mid-program and end-of-program timeframe. - Ensure that member milestone specialists are contacting their assigned 50- and 75-year members. - Meet monthly with the director of alumnae engagement to address specialist progress, items of concern or recommend updates to the member milestones program. - Conduct research on lost members to obtain a more accurate membership database. - Follow up with members as you receive communication back from them. - Send the provided card to 50- and 75-year members as assigned by the member milestones team leader and include a personalized celebratory message. - Update the shared member milestones document on a timely basis to provide information, including but not limited to the type of contact made, updated member contact information and deceased member updates. Role Description The chairwoman of the Nominating Committee (NC) leads and project manages the work of the NC. This includes the strategic recruitment of applicants, evaluation of potential candidates, preparation of a slate and distribution of the slated candidates’ qualifications to the Sorority’s membership. The chairwoman also facilitates the training and development of committee members and supports and encourages feedback on the nominating process to continuously and strategically recruit and develop leadership at the elected levels of the Sorority. The chairwoman is a non-voting member of the NC. Responsibilities - Create an atmosphere of trust that results in positive working relationships inside and outside of the Sorority. - Promote an inclusive experience that values and supports the personal and social identities that contribute to a diverse membership. - Promote diversity and inclusion throughout the recruitment, evaluation and slating processes for elected leadership. - Be aware of the strategic needs, relationships, strategic governance, workforce dynamics and culture of the organization. - Provide feedback to all applicants about their application/interview to assist in their leadership development. - Prepare and lead committee meetings and calls. - Adhere to deadlines stipulated in the Bylaws and rules and procedures regarding the nomination and election process. - Liaise between the NC team members and staff related to marketing, website, applications, forms and other tasks. - Make suggestions for improvement to the functioning of the NC process/workflow in conjunction with feedback and recommendations from the team. - Provide regular updates to International Council (IC) through the Governance and Personnel Committee, as needed. - Work on subcommittees or special projects, as needed. - Serve as a member of the Leadership Development Committee (LDC). Expectations - Adhere to all Gamma Phi Beta Bylaws, rules and procedures and committee responsibilities. - Meet minimum obligations for good standing. - Serve eight to 10 hours per month most months; during the three-to-four-month application and interview process, the time commitment could increase to 20 hours per month. - Have a working knowledge of all three entities of Gamma Phi Beta. - Not currently employed by the Sorority, Facilities Management Company or Foundation. - Travel approximately five days per year, which will be reimbursed by the Sorority based on the volunteer reimbursement policy. - Participate in conference calls/virtual meetings at least one per month (60-90 minutes in length). - Attend and actively contribute to committee meetings and events, including: - A three-day weekend meeting in the spring preceding Convention. - REAL Leadership Institute (approximately three and one-half days in the summer of odd-numbered years) and an adjoining one-day meeting, if approved. - Convention in the year slated (approximately four days in the summer of even-numbered years) and an adjoining half-day meeting. - Convention the final year of term to present the slate (approximately four days in the summer of the even numbered year). - Other potential conference/event attendance subject to member interest and/or organizational need. - Actively participate in meetings and on assigned workgroups. - Maintain confidentiality of Gamma Phi Beta business. - Fully engage and participate collaboratively in the team effort to slate members into elected positions. - Demonstrate experience with Gamma Phi Beta’s strategic plan and governance model. - Possess relevant experience in professional and community organizations. - Applicants for NC chairwoman must have served on the NC within the last six years or have served as a former IC member. In-person Meetings Required Over the Biennium - Convention the year slated and elected (approximately four days in the summer of the even numbered year), including an initial half day Committee meeting. - REAL Leadership Institute (approximately three- and one-half days in the summer of odd of the numbered year), including a one-day Committee meeting. - Three-day/long-weekend meeting in February (or March) in the Convention year at the end of the biennium term. - Other potential conference attendance, subject to member interest and/or organizational need. Conference Calls/Virtual Meetings - One per month (60-90 minutes in length). - As needed (e.g., with NC vice chair, with assigned subcommittees).
