Title: Foreign Filing Assistant Location: Boston Hybrid Job Description: Foley Hoag seeks a detail-oriented and organized Foreign Filing Assistant to join the Intellectual Property Administration team. This is an excellent opportunity for a motivated early career professional interested in entering the fascinating field of Intellectual Property law. The Foreign Filing Assistant’s primary function is to provide administrative support to the Foreign Filing Specialists by preparing draft client reporting letters forwarding foreign patent office correspondence to our Client. The ideal candidate for this position will have outstanding written communication skills and bring prior experience in a fast-paced office environment. This role is hybrid eligible, with on-site presence in our Boston office required at least two days per week. Specific on-site days will be determined by your supervisor. Core working hours are Monday—Friday 9:00am—5:00pm ET. Responsibilities The responsibilities of the Foreign Filing Assistant include, but are not limited to, the following: - Review and apply client specific reporting instructions to prepare draft client reporting letters to be reviewed by the foreign filing specialist. - Draft client reporting letters that include a case specific reference line; identify the item being reported and any associated response deadlines. - Ensure that draft client reporting letters include client specific reference numbers where applicable. - Prioritize client reporting letters that have response deadlines while ensuring non-deadline client reporting are also completed in a timely manner. - Carefully proofread client reporting letters before submitting for final signature. - Actively manage assigned client reporting workflows, follow-up and follow through until client reporting letter is sent out to the Client. - Compile knowledge development resources for your own reference. - Compile client reporting into batches, when possible, to expedite reporting of filing particulars to the client. - Assist with virtual file upkeep and maintenance. - Provide other administrative assistance as needed to the foreign filing specialist. Qualifications - 2+ years of office experience and established knowledge of Microsoft Word and Excel. - Attention to detail; experience drafting client correspondence is preferred. - Professional manner. - Must work well independently and as a contributing member of a hardworking team. - Ability to work effectively under time-sensitive conditions. - Strong organization and prioritization skills and ability to multi-task. - Sound judgment. - Conscientious with a strong work ethic. - Available to work overtime as needed. Compensation range is $57,600 to $72,100 commensurate with related experience and qualification.
