MUST BE A US CITIZEN Responsibilities: - Provide day-to-day leadership and oversite of a team of 10 or more personnel, ensuring work is properly assigned, monitored, and completed on schedule in accordance with business rules and execution. - Provide comprehensive meeting scheduling and logistical support for official departmental activities, including coordination with internal and external stakeholders. - Manage senior leader calendar(s) to identify optimal meeting times, prevent conflicts, and ensure accurate scheduling of engagements. - Create and distribute calendar invitations and meeting details for in-person and virtual meetings, ensuring proper attendance and coordination. - Record, prepare, and maintain meeting minutes as requested, ensuring timely documentation and distribution when required. - Ensure timely distribution of preparatory materials to all meeting participants in advance of scheduled engagements. - Develop and deliver weekly senior leader engagement summaries covering upcoming meetings, task deadlines, and travel scheduled. - Reserve and coordinate conference room space both inside and outside the organization, including coordination with Corporate Strategic Communications and IT teams for event support. - Prepare domestic and foreign travel documentation within two business days of receiving approved requests, including authorizations, vouchers, visit requests, passports, visas, and clearance documents. - Ensure all travel entered into DTS complies with applicable regulations, including Joint Travel Regulations (JTR) and other federal travel policies, and submit vouchers promptly upon receipt of traveler documentation. - Provide office administrative and logistical support, including supply ordering, document copying/scanning, equipment functionality checks, and coordination of secure document disposal procedures. - Draft official correspondence and documentation in accordance with government guidelines, and compile, print, and bind presentations and reports as directed. - Serve as the department's primary administrative point of contact, supporting personnel actions, onboarding/offboarding procedures, training record management, HR liaison functions, property/facilities tracking, and assisting program officers with financial execution monitoring, spend plans, reporting, and risk mitigation support. - Corporate program management duties as needed Qualifications Requirements: - Ability to obtain a Secret clearance - Bachelor's degree from an accredited college or university business and with ten (10) years of management experience providing business and financial support to organizations with Science & Technology (S&T) and/or Research and Development (R&D) missions - Masters Degree with five (5) years experience in business - Proficient in the use of Microsoft Office 365 (specifically, Word, Power Point, Outlook, SharePoint Online, Teams and Excel Desired Qualifications: - Project Management training or Project Management Professional (PMP) Certification - Experience in Navy ERP - Quality Certification (ITIL, or other)
