The Head of Fiduciary Services & Operations is responsible for leading, scaling, and enhancing HomeBase’s fiduciary support platform. This role owns both fiduciary service delivery and the operational infrastructure that supports it, providing strategic, operational, and process leadership across trust administration and core operational functions. This is a hands-on leadership role designed for a proactive, entrepreneurial operator who thrives in building structure, refining workflows, and expanding service capabilities. The role serves as a key integrator across attorneys, beneficiaries, accountants, financial advisors, and internal teams, driving operational excellence and innovation across HomeBase’s fiduciary service line. This leader will operate within an EOS (Entrepreneurial Operating System) framework, utilizing metrics, scorecards, and accountability structures to drive performance and continuous improvement.
Accounting and Relationship Specialist – Multi Family Office

• Maintain ownership of general ledger activity across assigned client relationships, reviewing and approving invoices, preparing journal entries, and recording assets and liabilities • Prepare monthly and quarterly financial statements, including income statements and balance sheets • Perform account reconciliations for bank and investment accounts, identifying and resolving discrepancies • Review and process invoices, disbursements, income, credit card activity and other transactions with accuracy and proper classification • Maintain full-cycle bookkeeping for real estate holdings and alternative investments. Track and reconcile capital calls, contributions, distributions at the investment level and RE taxes, property expenses, income at the property level • Support tax reporting processes, including 1099 NEC preparation, K-1 tracking & reconciliation, and coordination with external accountants • Manage payroll processing (ADP/Paychex), record related general ledger activity, and perform reconciliations to ensure payroll system data aligns with the general ledger for quarterly and year-end tax reporting; prepare documentation for workers’ compensation audits. • Serve as a primary point of contact for assigned clients, communicating financial information clearly and responding to inquiries with accuracy, professionalism and discretion • Support client onboarding, bill pay, and ongoing administrative activities • Coordinate with external advisors (tax, legal, investment, insurance) and vendors to ensure alignment and timely execution of client needs • Maintain accurate, organized, and up-to-date client records including financial, personal, property, insurance, and vendor documentation • Partner with internal team members to ensure seamless service delivery and accurate financial reporting • Assist with process improvements and system updates to enhance accounting and reporting workflows, while identifying opportunities to introduce additional services to existing clients • Support ad hoc projects and ongoing operational initiatives • Demonstrate exceptional integrity, transparency, professionalism, and sound judgment in all activities

• Manage projects by working collaboratively with our Project Leaders and clients to exceed expectations. • Responsible for planning, executing, and supporting cross-team collaboration while ensuring successful completion of client projects within the allotted timeline and budget. • Engage from the beginning of an engagement through closeout. • Monitor project progress continuously and make detailed scheduled reports on measurable items, such as milestones and deliverables. • Communicate proactively the status, issues, and risks involved in the project to all stakeholders including Senior Leadership. • Track time, scope and level of effort for each project.
Conflicts Analyst

• Conducting daily conflicts research, running timely and accurate conflicts searches, analyzing conflicts reports identifying potential conflicts, and maintaining data in a conflicts database • Processing electronically all new matter and client opening requests • Research using S&P Cap IQ, Hoovers, LexisNexis/Corporate Affiliations, A.M. Best and other various public databases • Responsible for data integrity • Interaction with attorneys and staff pertaining to the Conflicts Group and its processes
