• Assume overall project-level ownership and responsibility for publication accounts • Determine and refine specifications ahead of project initiation • Track and maintain the status of projects and their respective scopes, timelines, budgets, and deliverables • Proactively manage the account and be responsive to the client’s expectations and needs in project execution on a timely basis • Draft workflows/timelines and review to ensure they are drafted accurately • Formally initiate projects within WorkBook and with internal team members • Alert team members when project scope/budget has been approved and work may begin • Own the integrity and accuracy of the status report and other client deliverables • Draft recap of key takeaways for team finalization • Ensure that client meeting materials are accurately prepared • Assume ownership and responsibility for author relationships and their assigned tasks • Maintain an archive of all communications on the Citrus Health Group server (SharePoint) • Own entries within client project tracking software • Submits information to client databases for tracking physician payments, travel, meals, and gifts.
• Manage and develop existing medical communication client accounts • Achieve the forecast for accounts and identify new business opportunities • Build and maintain strong client relationships • Oversee and manage the account team for high-quality deliverables • Support team members in project proposals and budgets • Monitor and implement industry best practices • Leverage understanding of revenue generation and business metrics for profitability
• Design and create medical communication materials, primarily within Adobe InDesign, Illustrator, and PowerPoint; deliverables include (but are not limited to) scientific posters; InDesign poster templates; manuscript figures and charts; oral/podium, advisory board and symposium, and pitch/capabilities presentations; PowerPoint scientific templates; infographics; plain language summary imagery • Strategically enhance and elevate existing data visualizations (such as figures, slides) to tell a more impactful and clear story • Prepare print- and presentation-ready files and ensure accuracy, compliance, consistency, and quality standards • Partner closely with Scientific, Account, Project Management, and Editorial teams to execute against briefs • Maintain strong attention to detail, brand consistency, and version control across projects • Manage multiple fast-paced projects while maintaining high design standards
• Provide scientific direction, leadership, and oversight over all projects on their accounts • Seek out, examine, and distill complex scientific data to create impactful scientific publications, effective educational materials, and/or innovative brand strategies as needed by their client(s) • Understand the scientific and clinical aspects of assigned client work and serve as a key, strategic thought partner for both clients and internal teams • Lead all activities related to scientific strategies and publication planning, including oversight of scientifically complex materials • Serve as a subject matter expert on scientific and clinical aspects of client projects and deliverables • Support ongoing training of team members • Continuously offer strategic and innovative ideas to support in achieving client and team objectives • Review deliverables with a scientific lens to ensure quality standards and ensure client expectations are met • Ensure timely delivery of high-quality products and services to clients • Keep leadership informed of critical client and project updates and concerns • Keep abreast of the scientific developments relevant to accounts, disseminating information to the broader account team in a regular and timely manner, and to clients as appropriate

• Provide strategic scientific and publications oversight across multiple accounts • Review all content for scientific accuracy and adherence to client preference (e.g., lexicon, scientific communication platform) • Provide ongoing training and feedback to internal team members • Develop de novo content as needed (e.g., abstracts, posters, manuscripts, slide decks) • Identify emerging trends within applicable scientific areas and keep teams apprised • Guide and drive the strategic development of CiTRUS to provide scientific counsel both internally and to their clients • Lead all activities related to scientific strategies and publication planning, including oversight of scientifically complex materials • Serve as a subject matter expert on scientific and clinical aspects of client projects and deliverables • Prepare strategic and tactical plans for each client and individual project plans as needed • Attend and lead aspects of regular client status meetings, new project kick-offs, and debrief meetings; communicate key learnings to client and internal team • Review project reports and alert client and project teams of emerging trends and any shifting clinical data points • Ensure timely delivery of high-quality products and services to clients

• Partner with internal stakeholders in the development and execution of client deliverables within the medical communications field. • Support Project Managers in day-to-day tasks, including congress and journal research, submissions/uploads, management of poster uploads, printing, shipping, maintenance of contact databases, project and budget set-up, updating and tracking timelines, sending out client/author reviews, updating status reports, and ensuring cross-team collaboration.
• Serve as the business owner and subject matter expert for all Speakers Bureau portal builds and configurations • Own the end-to-end portal build process, including requirements definition, workflow mapping, configuration oversight, UAT, and go-live governance • Translate client SOPs, workflows, compliance requirements, and financial processes into scalable system configurations • Ensure portals are structured to support operations, billing, accruals, WIP tracking, reporting, and audit readiness • Hold internal and external stakeholders accountable to timelines, scope, and build standards • Serve as the escalation point for portal-related risks impacting revenue, compliance, or client satisfaction • Act as the central point of accountability for portal builds across clients • Establish and enforce build standards to ensure consistency and scalability • Partner with development teams to manage scope control, release readiness, and defect resolution • Drive cross-functional alignment between Client Engagement, Operations, Compliance, Finance, and Development • Lead portal readiness for new client onboarding, product launches, and major program expansions • Own UAT planning, test execution oversight, defect tracking, and release certification
• Serve as the primary compliance reviewer for Speaker Programs. • Verify that all required documentation, financial details, and data entries are complete, accurate, and compliant with client policies and SLAs. • Partner with Program Planners and internal teams to resolve discrepancies and ensure timely closeout. • Complete detailed reconciliation of program financials, including: Meal breakouts, Fee-for-Service (FFS) payments, Out-of-Pocket (OOP) expenses, Other reportable and pass-through costs, Calculate and prepare speaker fees for service reporting. • Review and submit speaker expense reports and track necessary shipping costs. • Ensure all compliance documentation is properly stored in internal systems and audit-ready. • Maintain accuracy and completeness of records to support internal, client, and regulatory audits. • Provide insights and recommendations to Operations and Compliance leadership. • Support training initiatives to reinforce closeout and compliance workflows. • Follow all SOPs and workflow guides. • Identify compliance gaps, risks, or process inefficiencies and propose solutions.
