Project Operations Analyst II – Sales Support

• Enter and maintain client contact information in Hub Spot and create/manage financing deals within internal systems. • Conduct initial client outreach and provide consistent follow-up via funding consultations, pre-qualification calls, email communication, and ongoing check-ins. • Serve as a primary point of contact for clients, ensuring clear, timely, and professional communication with both internal teams and external partners. • Facilitate document collection by sending and managing File Invite access. • Assist in managing client projects from initial intake through lender readiness, ensuring all milestones and timelines are met. • Review, evaluate, and analyze client-submitted documentation including applications, tax returns, profit & loss statements, balance sheets, and credit reports. • Assess client eligibility by identifying financial strengths, risks, and structural gaps within each file. • Maintain accurate data across CRM platforms, spreadsheets, and internal tracking tools. • Prepare correspondence, reports, and presentations as needed. • Coordinate with internal departments and external partners to align on client status, deliverables, and next steps. • Support contract-related activities, including preparing and tracking Master Services Agreements (MSAs) through Panda Doc and following up on contract-related communications. • Assist with sales and relationship development by supporting upsell opportunities, distributing marketing materials, and participating in calls or meetings as requested. • Adhere to department quality control procedures, confidentiality standards, and professional communication expectations. • Help identify and implement best practices to enhance workflow efficiency and overall client experience. • Collaborate with team members to resolve client issues efficiently and effectively. • Maintain oversight of operational tasks and perform additional duties as assigned by Benetrends Financial management.
• Assist with administering Retirement plans and other qualified retirement plans • Communicate with clients, financial advisors, and internal teams • Review plan data to ensure accuracy and compliance • Prepare annual plan reports and documentation • Help troubleshoot client questions and deliver excellent service • Manage multiple tasks and deadlines with strong attention to detail • Contribute to a team oriented, client focused environment
• Take ownership of day to day administration and compliance of a portfolio of 401(K) clients • Serve as their main point of contact, guiding clients through the complexities of retirement plan operations • Handle full scope plan administration including contributions, loans, distributions, hardships, QDROs, and compliance testing • Support Form 5500 preparation and ensure all deadlines are met • Research and resolve operational and regulatory compliance questions • Explain complex regulations in a way clients can easily understand • Maintain accurate workflow and documentation in PensionPro • Collaborate with internal teams, vendors, and clients to resolve issues smoothly • Stay informed on retirement plan laws, regulations, and industry developments
Client Onboarding Specialist – Retirement Plans

• Conduct full audits of the on-boarding process and related documents • Review plan documents, corporate documents, and call notes from initial setup • Verify plan status and perform completeness checks • Identify missing items and provide clear, actionable summaries for followup • Review system data to ensure accurate plan information • Review stock entries and confirm proper stock issuance • Organize client folders with all required plan and corporate records • Review retirement plan documents and coordinate corrections when needed • Serve as a proactive contact for new clients • Provide necessary documents to SBA lenders • Assist clients with retirement plan loans • Guide clients through the Year End Questionnaire and Census process • Explain complex plan rules in simple, client friendly terms • Build foundational knowledge of plan design, annual requirements, and compliance testing • Partner with internal teams to resolve on-boarding issues • Use internal tools, including Pension Pro, to manage tasks • Maintain tasks within required internal and external deadlines • Handle confidential plan information professionally and securely • Participate in special projects as needed • Take ownership of all tasks and deliverables for assigned clients • Thrive in a fast paced, deadline driven environment
