Title: Junior Creative Project Coordinator Location: Redwood City United States Job Description: Balsam Brands is looking for a proactive, resourceful, and innovative project coordinator to join our Creative Operations Team. This role will be responsible for coordinating incoming creative requests in a fast-paced environment and will work on integrated campaigns and other digital projects as well as on print and growth team projects (catalog, postcards, packaging, etc.).  You will partner with cross-functional teams and external partners to set expectations, milestones, dependencies, timelines, project scope, and project objectives to ensure the team has what they need to produce exceptional creative work in a timely manner. You will collaborate across creative functions to ensure projects are delivered on time, within scope, and to the highest quality brand standards. The Junior Creative Project Coordinator will support operational efficiencies and opportunities to scale the creative process using project management tools, workflows, resource management and effective communication. This full-time position reports to the Creative Operations Lead and is expected to work in a hybrid model, which currently includes Monday, Tuesday and Wednesday in-office. What you'll do: - Manage intakes, assign teams, provide brief reviews & project kick offs, including creating and managing Jira tickets (or comparable project management tool)  - Manage day-to-day execution of creative tasks, product launches, campaigns, and initiatives from kickoff to completion  - Create and manage work-back schedules, timelines and streamline workflows for projects and continuously evaluate and improve processes and procedures to increase efficiency and effectiveness - Identify resources needed for projects and work with creative team leads on task assignment and milestones for projects, proactively spotting obstacles and unblocking people where needed, and communicate them to team members and cross-functional partners  - Lead and/or attend weekly project meeting/check ins with the creative and/or marketing directors, communicating agendas beforehand, taking detailed notes, disseminating as appropriate, and provide weekly reports on status of projects - Create accountability among creative team members and stakeholders for completing projects - Partner with fellow Creative Ops team members to optimize workload and assignments across the Creative team, coordinating closely with designers and copywriters, ensuring proper hand off of internal and external deliverables, scheduling reviews and kick offs - Ensure all necessary assets are reviewed, approved, and delivered on-time to all necessary cross-functional partners, both internal and external  - Create and maintain highly organized internal project trackers, notes, documents, status and planning documents, budgets, etc - Plan and conduct end of year retrospectives with creative and cross functional team members to review past processes and executions, recommend processes and efficiencies - Collaborate closely with production team as well as vendors and freelancers, as needed  - Track and report out on costs associated with projects  What you bring to the table: - 3+ years of Creative Project Management or coordination experience and eCommerce experience  - A strong understanding of creative production workflows and timelines  - Proficiency in Microsoft Office applications, Jira, Confluence and other project management software - Click Up experience a plus - Ability to juggle several projects with varying degrees of complexity at any given time  - Proficiency in prioritizing tasks and managing project timelines to ensure on time delivery  - Experience working with in-house creative teams  - Excellent time management and written and verbal communication skills   - Attention to detail and organization  - Capable of motivating a creative team, fostering a collaborative and positive working environment - Experience in managing project budgets and tracking expenses  - Ability to build and maintain positive relationships with internal clients, understanding their needs and expectations  - Strong teamwork and collaboration skills  - Willingness to embrace new ideas, techniques, and technologies to drive creativity and innovation within a scaling team  - Bachelor's degree preferred About Us: Balsam Brands is a global, omnichannel retailer with roots in holiday and home décor. Work Details: This is a 6-month contract with remote flexibility based in Metro Manila, with potential to extend depending on business needs. Scope of Work: - Support product data management related to tree categories, including data validation, attribute audits, and structured clean-up initiatives within the Product Information Management (PIM) system. - Assist with new product introduction (NPI) PIM enrichment, creating upload templates and ensuring that data is complete, accurate, and adheres to established data standards for tree SKUs across brands and channels - Perform product data quality assurance (QA) prior to site launch, validating attributes, hierarchy placement, and other channel-specific fields - Assist with cross-system data checks to ensure alignment between PIM and downstream systems (ecommerce platform, marketplace feeds, ERP), escalating discrepancies as needed. - Support Merchandise Operations team in product data issue resolution across various communication channels, particularly supporting tree UPC attribute management, investigating and correcting incorrect product data showing up on the website. - Partner with Merchandising Operations and cross-functional stakeholders (Merchants, Creative, Site Merchandising) to resolve data gaps, clarify requirements, and support timely product setup. - Note: the primary focus of this role is supporting our Trees category, but you may be asked to lean into product data management of other categories & businesses.
