Event Program Coordinator
IFS Institute
• Maintain event workflows, timelines, and documentation across multiple concurrent programs • Maintain data accuracy across event platforms • Implement and uphold standardized processes and templates • Support ongoing process improvements by contributing ideas and feedback to strengthen workflow clarity and efficiency • Build and maintain event registration platforms (Cvent, CE-Go) • Update session, speaker, and program information • Test registration flows and resolve technical issues • Prepare and track CE documentation and application materials • Monitor deadlines and approvals to ensure compliance • Compile attendance and evaluation records • Support participant communication timelines and updates • Coordinate deliverables across Marketing, Community Engagement, and Customer Success teams • Assist with on-site and virtual event execution • Prepare materials and event documentation • Compile post-event data and contribute to reporting and process improvements
Job Requirements
- Bachelor’s degree
- 2–5 years of hands-on experience supporting live and virtual events
- Experience with event management platforms (e.g., Cvent, CE-Go)
- Experience with project management tools (e.g., Asana, Airtable)
- Proficiency in Microsoft 365
- Exceptional organizational, time-management, and follow-through skills
- High attention to detail and accuracy
- Ability to work independently and collaboratively across departments
