Role Description We're looking for an Operations AI Automation Specialist who combines strong operational experience with a genuine passion for AI and automation. Unlike traditional automation roles that focus purely on technical development, this position requires someone who understands how businesses actually operate. You'll work closely with the business owner to identify operational bottlenecks, redesign workflows, and implement AI-powered solutions that improve efficiency across administration, project management, customer service, and internal operations. Key Responsibilities - Analyze existing business processes and identify opportunities to automate repetitive operational tasks. - Design, build, and continuously improve AI-powered workflows using modern automation platforms. - Collaborate directly with the business owner to turn operational ideas into practical AI solutions. - Develop and maintain automations across project management, administration, customer communications, and internal workflows. - Build and optimize workflows within ClickUp, including project templates, automations, dashboards, and milestone tracking. - Research and test emerging AI tools to identify opportunities that improve productivity and business performance. - Document processes, workflows, and automation logic to ensure systems remain scalable and maintainable. - Monitor automation performance and recommend ongoing improvements. - Assist with implementing AI-powered customer communication tools, including voice AI and conversational AI applications. - Provide operational support across various business functions as new systems are introduced. Qualifications - 2+ years of experience in operations, administration, business support, project coordination, or process improvement. - Strong understanding of how operational workflows function within a growing business. - Demonstrated experience using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar to improve work efficiency. - Experience building automations using platforms such as Make.com, Zapier, n8n, or similar no-code/low-code automation tools. - Experience with ClickUp or comparable project management platforms. - Strong analytical and problem-solving skills with the ability to simplify complex workflows. - Excellent written and verbal English communication skills. - Highly organised with strong attention to detail. - Comfortable working independently in a fast-paced, evolving environment. - Proactive mindset with a willingness to continuously learn new AI technologies. Requirements - Experience implementing AI agents or conversational AI. - Familiarity with APIs and connecting different software platforms. - Experience with CRM, project management, or business operations systems. - Basic understanding of prompt engineering and AI workflow design. - Experience documenting SOPs and operational processes. - Exposure to the construction, manufacturing, property, or related industries is advantageous but not essential.
