Payroll Specialist, US Shift

• Support the Payroll Manager in processing bi-weekly payroll for contact center employees • Manage new hire onboarding and employee terminations within payroll systems • Maintain employee banking, tax, and payroll-related records • Administer wage garnishments, including processing and documentation • Upload and validate payroll files through the payroll vendor platform • Manage payroll-related communications, including government correspondence and the Workday Payroll Help Center • Respond to a high volume of employee payroll inquiries and resolve issues in a timely manner • Assist with semi-monthly payroll processing for corporate employees • Support time tracking, garnishments, pay card administration, and payroll reconciliations • Partner closely with HR, Finance, and Accounting teams to ensure payroll accuracy and compliance • Contribute to process improvements and support payroll system enhancements

Job Requirements

  • High school diploma or equivalent
  • Minimum 4 years of payroll processing experience
  • Proven experience processing high-volume payrolls (1,000+ employees) in a high-turnover environment
  • Strong experience with U.S. payroll processing and multi-state payroll regulations
  • Experience using payroll processing systems; Workday experience is strongly preferred
  • Advanced Microsoft Excel skills, including formulas, Pivot Tables, and VLOOKUP functions
  • Strong ability to manage confidential and sensitive employee information
  • Excellent organizational skills and ability to meet strict payroll deadlines

Role Description The Payroll Tax Analyst is responsible for ensuring the Company’s ongoing compliance with all federal, state, and local tax laws and regulations. The incumbent is responsible for analyzing, researching, and resolving issues and addressing complex tax inquiries. - Perform weekly audits of employee transfers and new hires to review employee taxes are set up properly and work with corresponding parties to resolve any issues. - Update State Unemployment Insurance (SUI) rates in Workday and Smart Compliance for audit and compliance purposes. - Review and update Federal Exempt Employees. - Process IRS Lock-in Letters ensuring employee tax profiles comply with IRS directives. - Generate weekly report that identifies employees with no SUI. - Run weekly payroll audits to review FICA tax withholding and make necessary updates to ensure accurate calculation and withholding of FICA taxes. - Prepare specialized reports for employees covered by federal regulations specific to railroad employment. - Review and resolve level 1 payroll tax ServiceNow tickets. - Perform other job-related duties as assigned.
