In this role, you will be responsible for engaging current clients on behalf of our agencies with the goal of setting pre-qualified appointments, making live transfers, and scheduling phone/email connections. Role Description Ready to join in? We are seeking a full-time Appointment Coordinator to be based at our corporate office in Westchester, IL. This position is primarily responsible for working with patients/physicians/callers in a polite and helpful manner to book appointments for all seven orthopedic offices, enter demographic data, insurance information, and any other relevant information into the NextGen and Athena system. In-person training will be conducted onsite at the corporate office in Westchester, IL. Candidate will have the ability to work remote after training is completed. The schedule will be Monday-Friday, no weekends or holidays. - Work with patients/physicians/callers in a polite and helpful manner to book appointments. - Enter demographic data, insurance information, and any other relevant information into the NextGen and Athena system. - Reschedule patient appointments when necessary and relay messages to staff. - Follow up on patients who are missing necessary information. - Answer telephone, screen calls, take messages, and provide information. - Maintain and update current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed. - Supplement office staff when requested and be receptive to additional assignments/projects as delegated by supervisor. - Maintain a positive demeanor with patients, peers, supervisors, and physicians, especially when receiving feedback or direction. - Assist staff members when necessary in a positive and professional manner to ensure the patients receive the utmost in care. - Perform work with accuracy to minimize error correction by other staff members. - Double check data entry to ensure the correct information has been entered into the NextGen and Athena system. - Organize and prioritize work to make sure projects are completed in a timely and efficient manner. - Stay abreast of and comply with all state and federal laws including HIPAA, ADA, OSHA, and FLSA. - Adapt to change in a positive and professional manner. - Other duties as assigned. Qualifications - High school diploma or general education degree (GED). - Call center experience is a plus. - Minimum of one year work experience, preferably in a medical office setting. Requirements - Ability to operate basic office equipment such as a computer, phone, and fax machine. - Multi-task and work in a fast-paced environment. - Attention to detail. - Communicate effectively verbally and in writing. - Work and communicate with patients, physicians, and staff at all levels of the organization.
