Job Description

Program Enrollment Associate

AMOpportunities

• Collect and track all required enrollment documents from students, including medical records, identification, academic transcripts, and program-specific requirements • Review submitted documents for completeness, accuracy, and compliance with AMO and clinical site standards • Follow up with students via email and messaging platforms to resolve missing or incorrect documentation in a timely manner • Maintain up-to-date records of document status for each student in the enrollment pipeline • Organize and bundle approved student documents into site-ready packages according to clinical site specifications • Upload finalized document bundles to internal systems, ensuring accurate file naming, version control, and proper storage • Audit document packages prior to submission to confirm all required materials are present and formatted correctly • Share student document bundles with clinical site contacts and manage the approval workflow through to confirmation • Serve as a point of contact between AMO and clinical site administrative staff for document-related inquiries and requests • Track approval status across multiple sites and escalate delays or issues to the appropriate team members • Process student enrollment records upon document approval, updating enrollment status in internal systems accurately and promptly • Coordinate with internal teams to confirm rotation start dates, site assignments, and onboarding completion • Assist students with understanding enrollment requirements, timelines, and next steps throughout the process • Monitor and respond to incoming student inquiries in the shared team inbox in a timely, professional, and empathetic manner • Triage student questions related to document requirements, enrollment status, and general program information • Escalate complex or sensitive student concerns to the appropriate team member or department • Maintain consistent, on-brand communication that reflects AMO's supportive and knowledge-forward voice • Provide general administrative support to the Clinical Operations team, including data entry, reporting, and calendar coordination • Assist in maintaining and updating internal trackers, spreadsheets, and standard operating procedures • Support cross-functional projects and process improvement initiatives as assigned • Perform additional duties as needed to support team goals and student success outcomes

Job Requirements

  • Bachelor's degree in healthcare administration, business, communications, or related field — or equivalent work experience
  • Strong written and verbal communication skills with a professional and empathetic tone
  • Exceptional attention to detail and organizational skills; able to manage multiple tasks and deadlines simultaneously
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with digital document management tools
  • Ability to work both independently and collaboratively in a fast-paced, remote or hybrid environment
  • Prior experience in customer success, academic advising, student services, or healthcare administration (preferred)
  • Familiarity with CRM platforms or enrollment management systems (preferred)
  • Experience coordinating with multiple stakeholders across administrative workflows (preferred)
  • Exposure to medical education, clinical training, or international student support is a plus (preferred)
