• Manage and coordinate scheduling for multiple ABA client caseloads. • Communicate directly with parents, BCBAs, and therapists to arrange and confirm service schedules. • Proactively follow up with all parties to ensure appointments are scheduled in a timely manner. • Resolve scheduling conflicts and identify solutions to maintain continuity of care. • Monitor schedules closely and make necessary adjustments to accommodate changes in availability. • Maintain accurate scheduling records and documentation. • Ensure services are staffed efficiently and that scheduling gaps are minimized. • Collaborate with internal teams to support smooth day-to-day operations. • Escalate scheduling concerns and staffing challenges when necessary.
Job Requirements
- Previous scheduling, coordination, or administrative experience, preferably in healthcare, ABA, or a related field.
- Exceptional organizational skills with strong attention to detail.
- Ability to manage multiple priorities and caseloads simultaneously in a fast-paced environment.
- Strong verbal and written communication skills.
- Confident and proactive approach to follow-up and problem-solving.
- Ability to communicate professionally with families, clinicians, and internal stakeholders.
- Comfortable making frequent outbound calls and coordinating schedules verbally.
- Proficient with scheduling software, CRM systems, and Microsoft Office/Google Workspace.
- Ability to work independently while maintaining accuracy and efficiency.
- Good typing speed and administrative accuracy required
- Ability to learn new scheduling platforms and systems quickly required
- Ability to work independently in a fast-paced remote environment
- Reliable internet connection and a suitable home office setup
