Role Description The Senior Manager, Administration serves as a central operational partner responsible for the systems, processes, communications, and administrative operations that support WorkMoney, Inc.’s organizational effectiveness. Reporting to the Director, Administration, this role supports the development, implementation, and continuous improvement of operational processes, internal communications, technology administration, and organizational operations. - Coordinate and facilitate organizational governance and operational meetings, such as People Manager and All Staff meetings, Labor Management Committee meetings, including meeting logistics, agenda development, documentation, and deliverables follow-through. - Provide administrative and operational support for labor-management activities, including maintaining confidential labor-relations records, bargaining-related documentation, meeting records, and management communications. - Prepare speakers, logistics, presentations, and documentation for organizational meetings in collaboration with the Director, Administration. - Serve as an expert meeting host, handling technical setup, attendee management, and interactive features (e.g., polls and breakout rooms) to ensure high-quality participant experience. - Create and maintain documentation regarding administrative systems, policies, procedures, processes, and organizational resources. - Identify and escalate discrepancies, process gaps, operational risks, or system issues related to records, policies, or systems to the appropriate stakeholders and proactively support resolution efforts. - Identify, develop, and implement administrative processes, workflows, and operating procedures to increase efficiency, consistency, and organizational effectiveness. - Own recurring internal communication channels and processes, such as monthly Operations newsletters, ensuring timely, accurate, consistent, engaging, and accessible information sharing across the organization. - Draft, coordinate, schedule, and distribute customized communications across multiple channels, including Slack, email, intranet, and organizational announcements. - Manage and continuously improve the organization's intranet, ensuring information remains current, organized, and accessible. - Create and maintain presentations, templates, and communication materials in accordance with organizational brand standards. - Manage incoming physical mail, ensuring timely and secure handling of organizational correspondence. - Serve as a liaison for designated vendors, including IT, ensuring timely resolution of issues, and effective vendor relationship management. - Maintain the organizational repository of systems, tools/platforms, and licenses including access management and inventory tracking. - Partner with stakeholders to improve system utilization, strengthen security practices, and enhance staff experience. - Manage projects to improve cybersecurity, improve IT processes, and streamline systems. - Coordinate staff training and communication related to technology, systems, and security needs in collaboration with internal and external partners. - Monitor vendor performance, identify service improvements, and support contact renewals and implementation efforts. - Support planning and execution of organizational events, retreats and convenings, managing logistics, vendors, budgets, and stakeholder coordination. - Oversee organization-wide records management, document retention, and archival practices, ensuring compliance, accessibility, security, and consistency of organizational records and documentation. - Identify, develop, and implement improvements to documentation practices, knowledge-sharing processes, and information management systems. Qualifications - 5+ years of progressive experience in administration, business/organizational operations, or related function, with demonstrated success managing complex priorities and organizational initiatives. - Strong project management skills with the ability to independently manage multiple initiatives simultaneously, coordinate stakeholders, and drive completion. - Exceptionally organized and detail-oriented, with the ability to balance day-to-day operational execution with longer-term planning and continuous improvement efforts. - Highly proficient with digital collaboration tools and platforms (e.g., Google Workspace, Zoom, project management software, intranet or knowledge-base platforms), and comfortable learning systems quickly to support evolving operational needs. - Experience developing, implementing, and improving administrative processes, systems, workflows, or operational procedures that increase efficiency, consistency, and organizational effectiveness. - Demonstrated ability to manage organizational systems, records, documentation, and information resources while ensuring accuracy, accessibility, and compliance. - Exceptional written, verbal, and interpersonal communication skills, including the ability to draft high-quality correspondence, distill complex information, and tailor messaging for diverse audiences. - Experience partnering effectively with internal and external stakeholders to achieve organizational objectives and resolve operational challenges. - Ability to analyze operational challenges, identify root causes, and recommend practical solutions that improve efficiency, reduce risk, and enhance experience. - Demonstrated history of handling sensitive organizational information with confidentiality and professionalism. Requirements - Experience managing vendor relationships, software subscriptions, licenses, or administrative systems. - Experience overseeing records management, document retention, knowledge management, or organizational documentation practices. - Experience supporting retreats, offsites, or conferences, or other large-scale organizational events. - Experience in a digital-first, fast-paced or start-up organization.
