• Work consistently with the Chief of Program and Deputy Chief of Program, keeping the Chief of Program on track and on time and helping her prioritize her schedule, outgoing communications, and book travel as needed to meet the organization’s needs • Organize and prioritize key information, issues, deadlines, and decisions for Program Department leadership. Work in partnership with the Deputy Chief of Program to execute Department priorities and projects • Absorb and understand the short- and long-term strategic priorities of MoveOn and the Chief of Program, make scheduling recommendations, and communicate scheduling decisions to all involved in a fast-paced, ever-changing environment. Walling off distractions and protecting highly focused work sessions; or scheduling back-to-back conference calls during tight timelines as needed • Assist in setting up internal meetings, including making sure that agendas are circulated in advance and Zoom room links are listed in Google Calendar invitations • Take notes during meetings and calls, and ensure that everyone understands their follow-ups and actually follows up • Assist Program Department Team Leads with operations support, including expense reports
Job Requirements
- At least 2 years experience in a similar role
- Exceptional organizational skills
- Ability to community well in various mediums
- Familiarity with Google Suite, experience with Nexonia and Bill.com preferred
