Customer Onboarding Specialist

• Lead customers through stages of the card journey, from card application to ordering to first swipe completion, ensuring a timely and smooth process. • Educate customers on how to use Mudflap’s fuel card and associated platforms effectively, addressing any questions or concerns. • Monitor and track your prospects’ progress using CRM tools (e.g., HubSpot), ensuring all their data and your interactions are accurately documented. • Identify and resolve application and onboarding barriers, escalating issues when necessary to internal teams. • Proactively engage with customers to action to foster initial usage, focusing on creating long-term value and retention. • Collaborate with cross-functional teams to refine the PLG motion and contribute to scalable best practices. • Deliver exceptional customer experiences by maintaining a professional, empathetic, and customer-focused approach in all interactions.

Job Requirements

  • Proven experience in a customer-facing role, such as onboarding, customer success, sales or support.
  • Strong communication and interpersonal skills, with the ability to build trust and rapport quickly.
  • Highly responsive with the ability to meet the needs of prospective customers
  • Comfort working in a fast-paced, high volume, dynamic environment, preferably with startup experience.
  • Ability to manage multiple customers and tasks simultaneously, demonstrating excellent time management and prioritization skills.
  • Proficiency with CRM tools (e.g., HubSpot) and a willingness to learn new systems and technologies.
  • Problem-solving mindset with a proactive approach to identifying and addressing customer needs.
  • A customer-centric attitude and a passion for delivering value and building long-term relationships.

Role Description ISTA Personnel Solutions is recruiting on behalf of a fast-growing US-based ABA (Applied Behavior Analysis) therapy company, who requires an Onboarding Coordinator to support a structured onboarding team that processes new therapist hires across multiple US states. As an Onboarding Coordinator, you'll be the first point of contact for newly hired ABA therapists from the moment they accept their offer. Your job is to guide them through each step of the onboarding process, keep them moving, and make sure nothing falls through the cracks. It's a high-volume, detail-driven role that requires someone who is organised, proactive, and genuinely good with people. PLEASE NOTE: - Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (3:00 PM – 12:00 AM South African time, subject to daylight savings) - Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA) - Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Connections via Rain, LTE, 5G, or similar are not acceptable. Applicants without a fixed fibre line will not be considered. - Power Backup: A reliable backup solution is required to manage load shedding and outages (UPS, inverter, solar, etc.). Applicants without a reliable backup solution will not be considered. - Work Environment: Fully remote KEY RESPONSIBILITIES: - Conducting onboarding meetings via Zoom or Teams with newly hired therapists. - Guiding candidates through each stage of the onboarding process and identifying what still needs to be completed. - Following up consistently to ensure candidates are progressing through their onboarding steps on time. - Managing candidate statuses on a shared board and ensuring no one is stuck at a stage for too long. - Completing and tracking tasks accurately within the company's systems (including ClickUp). - Flagging candidates who are not engaging or progressing and following the relevant protocols. - Coordinating with the staffing team once candidates reach the placement stage of onboarding. - Handling approximately 30 onboarding candidates per month per state, with team support during high-volume periods. Qualifications - Previous experience in an onboarding, recruitment coordination, or HR admin role. - Experience working with ClickUp, Microsoft Teams, or similar platforms is an advantage. - Familiarity with the ABA therapy space or a background in healthcare, disability, or mental health services is a plus. - Strong organisational skills and a task-oriented working style — you need to love ticking things off a list. - Excellent follow-up and communication skills — a large part of this role is keeping candidates moving and engaged. - Comfortable working in a high-volume environment with multiple candidates at various stages simultaneously. - Self-driven and able to identify what needs to be done without waiting to be told. Role Description The Client Onboarding Coordinator is responsible for facilitating communication and coordination among the Cross Country Locums (CC Locums) recruiter, the independent contractor healthcare provider (HCP), and the Locums client. This role ensures that all required documentation is completed to present the independent contractor provider to the CC Locums client for approval and to secure privileges for CC Locums assignments. - Oversee client and facility onboarding requirements, including credentialing verifications and licensure attainment, as well as application completion. - Process CC Locums client applications and reapplications in a timely manner. - Maintain accurate data entry and ensure data integrity for independent contractor information within the credentialing system, including updating expiring verifications. - Collaborate with other Credentialing and Risk Management teams to identify and implement process efficiencies. - Serve as the primary liaison to CC Locums clients, ensuring prompt completion and delivery of required information. - Assist with documenting internal credentialing processes and proactively seek opportunities for continuous improvement. - All other duties as assigned.
