The Role This is the operational backbone of Ahrefs' events program. Based in Singapore, you'll own the end-to-end logistics and execution across a diverse portfolio: 3 global flagship events, regular Singapore office events (workshops, talks, and community gatherings), and APAC sponsored conference activations. No two weeks look the same — and that's the point. You'll report to the Global Head of Events (US-based) and work closely alongside our Global Partnerships & Revenue Manager (SG-based), who manages the commercial side of our sponsored conference program. Your role is execution: you make sure every commitment is delivered, every shipment arrives, and every event runs without dropped balls. What You'll Do - Manage end-to-end event logistics for 3 flagship events and the wider annual program: venue liaison, AV setup, material delivery, and on-site execution. - Own event logistics — travel coordination, accommodation, run-of-show scheduling, briefing documents, dietary requirements, and AV specifications. - Coordinate vendor relationships (couriers, print shops, AV suppliers, swag fulfilment vendors) and ensure timely, accurate execution of all contracts. - Execute on sponsorship deliverables across both flagship and APAC sponsored conferences — tracking all terms in partnership agreements and ensuring they are fulfilled and documented. You'll work alongside our Global Partnerships & Revenue Manager, who owns the commercial relationships; your focus is making sure every commitment is delivered on the ground. - Oversee the production, customs clearance, and global delivery of event collateral, promotional materials, and educational assets to venues worldwide. - Manage swag procurement and fulfilment in partnership with the Event Marketing Manager, who owns creative direction and briefing. - Maintain comprehensive operations documentation: run-books, vendor contacts, timelines, post-event reports, and process guides the wider team can follow. - Proactively flag risks, budget variances, and timeline concerns to the Global Head of Events before acting on decisions that could affect event outcomes. - Plan and execute Singapore office-based events — including workshops, talks, and community gatherings — coordinating internal speakers (leadership, product, and subject matter experts) and managing all on-site logistics within the Ahrefs Singapore office. - Coordinate logistics, materials, and on-the-ground execution for APAC sponsored conferences — working closely with our Global Partnerships & Revenue Manager to ensure every regional activation lands as agreed. - Support the wider events team with operational needs as the global program scales. You'll Thrive Here If - You've run or supported 20+ events and know what breaks — and how to prevent it. - You're obsessive about logistics: tracking shipments, chasing vendors, and closing loops is genuinely satisfying to you, not a chore. - You communicate proactively and in writing — you document decisions, flag risks early, and don't wait to be asked for an update. - You're comfortable working asynchronously with a US-based manager — you understand that timely, clear written communication is how trust is built across a significant time zone gap. - You can juggle multiple concurrent events without losing detail or letting things fall through the cracks. - You're comfortable managing third-party suppliers across time zones, including customs and international shipping coordination. - You have working knowledge of event technology: AV setup, registration platforms, event apps.
