Role Description - Process accurate semi-monthly full-cycle payroll for all employees, including payroll changes, retroactive pay adjustments, vacation pay accruals and payouts, and quarterly commission and bonus payments. - Coordinate employee lifecycle payroll and benefits administration, including hiring, onboarding, payroll setup, terminations, final pay, and benefit cancellations. - Administer employee benefits programs and vendor relationships, including enrolments, updates, terminations, and ongoing plan support; plans include Manulife, Wawanesa, Fidelity Health Spending Account (HSA), Dialogue, and partnership programs like CAA memberships. - Manage the company’s Group RRSP plan, including enrollments, contribution changes, updates, terminations, and ongoing employee support, including onboarding acquired employees into the plan. - Prepare and maintain payroll remittances, reconciliations, and reporting, including WCB for Saskatchewan, British Columbia, and Newfoundland & Labrador, OHT/EHT, ROEs, and year-end T4/T4A filings. - Ensure compliance with federal and provincial payroll legislation and maintain accurate, confidential employee and payroll records. - Respond to payroll, benefits, and tax-related inquiries from employees and internal stakeholders in a timely, professional manner. - Support payroll audits, remittances, and compliance documentation, including coordination with government agencies, benefit providers, and external partners. - Prepare payroll-related journal entries, accruals, reconciliations, and month-end reporting to ensure accurate financial records. - Assist with broader finance operations, including accounts payable/receivable support, expense tracking, budgeting support, and payroll-related analysis. - Maintain organized financial records, spreadsheets, and supporting documentation for reporting and audit purposes. - Partner with accounting and management teams to support accurate financial reporting and annual audit requirements. - Compile and organize carrier commission statements in support of employee commission payments. - Manage and process subcontractor invoices via Deel and G-P platforms; post to NetSuite. - Reconcile payroll liabilities against general ledger accounts to ensure accurate financial records. Qualifications - Experience processing full-cycle payroll and administering employee benefits in a multi-jurisdiction Canadian environment. - Strong knowledge of payroll legislation, statutory remittances, year-end reporting, and compliance requirements across federal and provincial jurisdictions. - Hands-on experience with payroll reconciliations, journal entries, accruals, and payroll-related financial reporting. - High attention to detail, strong numerical accuracy, and the ability to handle confidential information with discretion. - Comfort working with multiple benefit providers, government agencies, and internal stakeholders. - Proficiency with payroll systems, Excel, and financial spreadsheets; experience with tools such as NetSuite, Rippling, or other integrated HRIS/payroll platforms is an asset. - Strong organizational skills with the ability to manage deadlines, prioritize competing tasks, and work independently. - Clear written and verbal communication skills and a collaborative, service-oriented approach. The UHS Corporate Payroll Department is seeking a Payroll Supervisor to oversee day-to-day payroll processing operations and provides direct supervision to payroll staff to ensure accurate, timely, and compliant payroll processing. This role serves as a leader and subject matter expert in Workday payroll, ensuring adherence to payroll procedures, internal controls, and regulatory requirements. The Payroll Supervisor partners closely with leadership to support payroll operations, staff development, and continuous process improvement. Coordinates check/voucher processing & distribution of payroll checks/vouchers/reports. Reviews payroll reports for accuracy and adjusts as necessary. Coordinates and processes all equity compensation W-2/payroll adjustments. Oversees relocation adjustments and ensures employee relocation tax impact is accurate. Key Responsibilities Include: - Provide direct supervision to payroll staff including training, coaching and performance feedback. - Supervises the ADP Garnishment process. Coordinates resolution of garnishment issues between ADP, facilities and agencies. - Review payroll audit reports, reconciliations, and exception reports prior to payroll finalization. - Serve as a functional expert in Workday processing and troubleshooting. - Serve as an escalation point for complex payroll issues and employee inquiries. - Enforce policies, procedures, and internal controls. Support internal and external audits and documentation requests. Partner with HR, Finance, Benefits, and ERP team to resolve complex payroll-related issues. - Identify and address payroll risks, discrepancies and control gaps. - Assists Accounting with monthly close of Corporate entities. - Assists with the coordination of tax filing utilizing ADP. - Safeguards the confidentiality of all payroll information, releasing details only as required by law or on a "need to know" basis to appropriate payroll, human resource, supervisory personnel, and external agencies. - Adjust hours, as needed, for payroll processing and finance deadlines. Qualifications Technical School or Associate's Degree required. Bachelors degree preferred. 5 - 8 years of payroll experience (preferred 2+ years of Workday experience) and 2 or more years of supervisory experience, in lieu of college requirement. - The ideal candidate would have experience supervising payroll in a multi-entity or complex environment. - Candidate would also have experience with payroll implementations and process design. - Advanced Workday Payroll knowledge along with knowledge of complex payroll tax and wage regulations. - Strong analytical and problem-solving skills. - Proficient data entry skills and a proven knowledge of Microsoft Office. - Possess strong organizational skills, attention to detail and the ability to work effectively in a fast-paced, deadline-driven, collaborative environment.
