Construction Operations & Scheduling Coordinator

• Manage and actively drive construction schedules across multiple projects • Coordinate team schedules to ensure no employees, vendors, or contractors are double-booked • Ensure all team members and contractors are showing up to work daily and arriving on schedule • Monitor jobsite activity through security cameras and field reporting systems • Stay in constant communication with contractors, subcontractors, and project managers regarding schedule updates and daily operations • Push schedules aggressively to gain back time and “win days” whenever possible • Identify delays, bottlenecks, and operational inefficiencies before they become major issues • Audit project progress daily and understand exactly where projects are being slowed down and why • Create solutions immediately when problems arise and implement corrective actions with urgency • Coordinate with field teams, subcontractors, procurement, and management to accelerate project timelines • Develop process improvements to prevent repeated scheduling issues in future projects • Hold teams accountable to schedule milestones and deadlines • Manage and oversee our custom-built Monday.com operations portal • Ensure all workflows, tasks, processes, and company protocols are being followed properly • Maintain accurate project tracking and task management daily • Monitor overdue tasks and ensure team accountability across departments • Keep all project information organized and updated in real time • Communicate daily with internal team members through phone calls, messages, Slack, and other communication tools • Hold employees, project managers, cleaners, and contractors accountable for daily deliverables • Follow up aggressively and professionally on incomplete tasks and missed deadlines • Coordinate between departments to keep operations running smoothly and efficiently • Maintain constant communication with field personnel to ensure projects stay on schedule • Manage and complete construction punch lists • Review daily property lock checks using security camera systems • Review cleaning and property readiness through cameras and OpenSpace software • Understand field conditions, construction sequencing, and jobsite operations • Communicate directly with subcontractors regarding project progress, scheduling, quality control, and completion requirements • Ensure properties meet cleanliness and readiness standards before final approvals • Participate in invoice approval processes • Verify property readiness, cleanliness, and completion status prior to contractor payment approvals • Ensure proper documentation and operational compliance before payments are released • Assist procurement department with ordering materials and coordinating deliveries • Help prevent material-related project delays • Support daily operational and administrative tasks as needed • Coordinate urgent purchasing and scheduling needs to keep projects on track
Job Requirements
- Strong construction background required
- Experience in construction operations, project coordination, scheduling, or project management
- Strong understanding of construction sequencing and scheduling logic
- Ability to identify bottlenecks and proactively solve problems
- Experience pushing schedules and accelerating project timelines
- Comfortable managing multiple moving parts simultaneously
- Strong leadership and accountability management skills
- Excellent communication and follow-up abilities
- Comfortable communicating with contractors and field teams daily
- Ability to manage schedules, staffing coordination, and daily operations efficiently
- Strong technology and software proficiency
- Experience with construction software platforms and project tracking systems
- Comfortable using: Monday.com, OpenSpace or similar construction software, Security camera systems, Google Workspace / Microsoft Office, Messaging and communication platforms
- Experience managing residential construction projects preferred
- Experience with remote construction operations coordination preferred
- Bilingual (English + Spanish) is a plus!
