Role Description We are a fast-paced residential construction and real estate firm seeking a Finance Admin to support our in-house bookkeeping team. This is a critical “engine room” role designed to take manual, repetitive data-entry and system-syncing tasks off the plate of our senior finance staff. Your primary mission is to ensure that financial data is accurately mirrored across multiple platforms. You will manage the flow of information between payment systems, accounting software, and project management tools. We need a detail-obsessed “sync specialist” who understands that in construction, accurate job-costing and payment tracking are the foundation of operational success. Key Responsibilities - Data Entry & Cross-System Synchronization - Manage the flow of payment information between accounting and project management systems. - Ensure payments marked as “Paid” in finance systems are accurately reflected in project management platforms. - Prevent duplicate entries and maintain clean financial records throughout the payment lifecycle. - Reconcile information across multiple systems to ensure consistency and accuracy. - Accounts Payable (AP) & Light Bookkeeping - Support daily Accounts Payable workflows by entering vendor and invoice information accurately. - Assist the accounting team by preparing entries for reconciliation and maintaining organized records. - Maintain accurate financial data within project management systems, ensuring costs are allocated to the correct projects and line items. - Ensure the integrity and accuracy of financial documentation at all times. - Administrative Coordination - Follow established SOPs and workflows with precision and consistency. - Coordinate with finance leadership and accounting staff to flag discrepancies or missing documentation. - Support the “Quote-to-Payment” lifecycle through accurate administrative execution. - Maintain clear internal communication regarding payment statuses and financial updates. Qualifications - Proven experience in data entry, clerical administration, or light bookkeeping. - Experience within Construction, Real Estate, or related industries is highly preferred. - Familiarity with QuickBooks Online, BuilderTrend, and payment management systems is highly advantageous. - Extremely detail-oriented with strong accuracy and organizational skills. - Comfortable working with repeatable workflows and structured processes. - Strong written English communication skills for internal coordination.
