Senior Project Manager - Digital Marketing

Role Description Our client is looking for a Senior Project Manager to lead the project management function and drive operational excellence. This is a strategic leadership role, not just task management. You will own the systems, processes, and governance that stop bleeding margin and keep clients happy without burning out the team. If you're energized by fixing financial chaos and building systems that scale, this is your role. Responsibilities - Time Budgeting & Profitability Governance (Your #1 Priority) - Deploy and manage real-time budget vs. actual tracking for all client accounts - Establish weekly budget review cadence with account teams - Create and enforce escalation protocols (alerts at 80%, 100%, 115% of budget) - Implement hard stops at 100% budget requiring MA approval to continue - Build and maintain profitability dashboard for leadership with monthly reviews - Capacity Planning & Resource Allocation - Maintain visibility into team capacity across all departments (SEO, Paid Media, Content, Dev) - Forecast resource needs and flag capacity constraints before they become crises - Balance workloads across team members to prevent burnout and ensure quality - Partner with leadership on hiring decisions based on capacity data - Process Improvement & Standardization - Audit existing workflows within first 30 days and present gap analysis to leadership - Identify and implement quick wins that immediately improve efficiency - Create urgency hierarchy and priority matrix so not everything is "urgent" - Standardize project workflows in ClickUp with templates and automations - Document all processes and train team on new systems - Cross-Department Coordination - Serve as the operational hub connecting SEO, Paid Media, Content, Dev, and Client Success teams - Resolve resource conflicts and timeline dependencies across departments - Ensure smooth handoffs between teams during client onboarding and project execution - Facilitate communication without becoming a bottleneck - Client Escalation Management - Own the resolution of project-related client escalations - Partner with Account Managers to ensure client expectations are managed proactively - Team Leadership - Manage and mentor the Junior Project Manager - Define clear task distribution: Sr. PM owns 80% strategic work, Jr. PM owns 80% admin/execution - Build a scalable PM function that grows with the agency Qualifications - 8+ years of project management experience in a digital marketing agency or similar environment - Proven track record of improving profitability through operational excellence - Experience managing cross-functional teams (designers, developers, strategists, media buyers) - Direct experience with budget tracking, time management, and resource allocation at scale - History of implementing and optimizing project management systems from scratch or fixing broken ones Requirements - Technical Expertise (Required): - ClickUp (Advanced, non-negotiable): Must be able to build complex workflows, automations, dashboards, and custom fields from scratch.
