Role Description Join us as a Medical Records Assistant and help streamline the collection, verification, and organization of essential medical records! The Medical Records Assistant (MRA) is responsible for managing, maintaining, and processing medical records with accuracy and confidentiality. A Medical Records Assistant’s key responsibility is to ensure that all required records, tailored to each expert’s specialty, are received on time to support physicians or experts for their appointments and other critical deadlines. In addition to core duties, the MRA will perform Quality Assurance (QA) checks to verify the completeness, accuracy, and integrity of all medical records before submission. - Work diligently from a task list, ensuring the timely completion of tasks to meet applicable deadlines and maintain a seamless workflow in medical records management. - Efficiently send compiled legal records to experts through a secure electronic link or hard copy, adapting to specific requirements as necessary. - Proactively ensure that all records have been received; initiate/follow up communication with the defense if any records are missing. - Perform QA checks to meticulously review legal documents for accuracy, including patient name, Date of Birth (DOB), Date of Injury (DOI), and alignment with the examiner's expertise. Daily Tasks - Request records from Defense Counsel and review them for accuracy. - Compile combined files and promptly send them to designated physicians and experts, following secure electronic link protocols or providing hard copies as required. - Enter follow-up information, including necessary updates or additional records, into the system for comprehensive recordkeeping. - Engage in professional and timely email communication with defense and experts, providing updates and addressing inquiries. - Enter Retrieval services, Addendums, and Radiology services as applicable. Qualifications - Proficient in using Adobe software for combining and organizing multiple files containing records. - Proficiency in electronic medical record (EMR) systems and familiarity with medical terminology. - Advanced data entry skills to accurately maintain records, including follow-up information. - Strong organizational skills to compile comprehensive files and create detailed Table of Contents. - Ability to work independently and efficiently manage a daily task list to meet applicable deadlines. - Technically adept in utilizing electronic systems for uploading documents and maintaining logs. - Time management skills to handle multiple tasks and maintain a seamless workflow. - Professionalism in all interactions, fostering effective collaboration within the team and with external stakeholders. Requirements - Send a minimum of 20 reprints or additional record sets per month to experts or legal teams, ensuring timely delivery, accuracy, and compliance with confidentiality standards. - Complete and correct QA checks for all body parts at least two weeks before the examination and perform a minimum of 100 QA checks per month. - Ensure a minimum of 800-1000 follow-ups per month.
