We are hiring a HubSpot Consultant to help improve and scale the way leads are managed across admissions and clinic operations for a U.S.-based university. This is a hands-on, systems-focused role for someone who is strong in the technical and operational side of HubSpot. The main priority is to make HubSpot run smoothly as a reliable lead management engine, with clean data, effective workflows, and strong integration processes. Responsibilities - Manage and optimize HubSpot workflows, automation, and day-to-day system functionality - Own data hygiene and help ensure lead data remains accurate, organized, and actionable - Support the setup, improvement, and ongoing management of a two-way API connection between HubSpot and Campus Cafe - Help build and improve HubSpot processes for both admissions and clinic lead management - Support the implementation of HIPAA-compliant lead handling processes within HubSpot for clinic-related use cases - Collaborate with internal stakeholders to improve lead flow, follow-up, and operational efficiency - Help implement additional HubSpot capabilities over time, such as chat, texting campaigns, and other workflow improvements
Job Requirements
- Strong hands-on experience with HubSpot, especially in workflows, automation, data management, and backend operations
- Experience managing data hygiene and building scalable lead management processes
- Experience working with APIs, integrations, or two-way system syncs between platforms
- Ability to troubleshoot operational issues and improve systems end-to-end with limited oversight
- Experience with HIPAA-compliant processes, healthcare-related systems, or other privacy-sensitive environments is a strong plus
- Experience with student information systems such as Campus Cafe is a plus, but not required
- English proficiency sufficient for regular collaboration with U.S.-based stakeholders

Description Role Overview The Application Administrator is responsible for the administration, maintenance, and operational support of enterprise applications in a secure government environment. This role ensures system availability, performance, security, and compliance while providing Tier 3 support for mission‑critical systems.
