Role Description We are seeking a highly organized, tech-savvy System & Performance Marketing Assistant to manage both backend marketing tools and executive operations. This role is ideal for someone who can run marketing automations while keeping executive calendars, emails, and workflows running smoothly. Responsibilities - System Administration & Marketing Automations - Manage and maintain backend systems within GoHighLevel (GHL), Kajabi, HubSpot, ActiveCampaign, and LastPass. - Manage, and optimize workflows, automations, and integrations between tools. - Pull email marketing stats and manage email automation sequences, lead scoring, tagging, and CRM pipelines. - Troubleshoot system issues, errors, or integration conflicts quickly and efficiently. - Ensure all tools are properly synced and data is consistent across platforms. - Support marketing and operations teams by building automations that streamline processes. - Maintain documentation of SOPs, workflows, and integrations. - Regularly audit platform performance and suggest improvements for efficiency and scalability. - Executive Administrative Tasks - Manage executive email inboxes, prioritize messages, and draft responses as needed. - Maintain executive calendars, schedule meetings, and resolve conflicts across time zones. - Maintain confidentiality and handle sensitive information with discretion. - Organize and document operational processes and workflows for both admin and marketing tasks. Qualifications - Proven experience in system administration and marketing automation (GHL, Kajabi, HubSpot, ActiveCampaign, Zapier). - Strong expertise in executive administrative support, including email, calendar, and workflow management. - Ability to identify and resolve technical and administrative issues independently. - Highly organized, detail-oriented, and process-driven. - Strong communication skills and ability to collaborate with cross-functional teams. - Familiarity with other platforms (ClickFunnels, ClickUp, Airtable) is a plus. - Experience documenting workflows and automations. - Strategic thinker, self-starter, and results-driven.
