Role Description Our client, a high-growth recruitment firm based in New York City, is seeking a meticulous and proactive Administrative Assistant to support their US operations from South Africa. This is an incredible opportunity for a tech-savvy professional to work within the fast-paced NYC recruitment market and become an integral part of an international team. Key Responsibilities - Systems & Data Integrity: Manage and update data within the client’s ATS (RecruiterFlow), ensuring all candidate and client records are precise. - Reporting: Pull and compile performance and pipeline reports to help the client’s leadership make data-driven decisions. - Presentation Design: Format and build professional decks, presentations, and documents for high-level client meetings. - Search Administration: Support the full lifecycle of recruitment searches: organizing folders, managing documentation, and assisting with role opening/closing tasks. - Operational Logistics: Conduct research for travel and events, and handle occasional bookings (flights, accommodation) for the US team. - Digital Housekeeping: Keep the client’s Google Drive, Slack, and internal spreadsheets organized and optimized for efficiency. - Content Support: Assist with the preparation of the client’s newsletter by extracting and organizing relevant data. Qualifications - Unmatched Accuracy: You have a natural affinity for detail. You take pride in ensuring every spreadsheet and document is error-free. - Tech Literacy: Proficiency in Google Suite and Slack is essential. Familiarity with an ATS (RecruiterFlow or similar) is highly advantageous. - Problem-Solving Mindset: You are a resourceful researcher who can work across multiple systems to find answers and streamline processes. - Adaptability: The ability to manage shifting priorities in a fast-moving recruitment environment. - Communication: Exceptional English communication skills, both written and verbal.
