The Role We’re looking for an Executive Assistant to join and support our executive leadership team. In this role, you’ll play a critical part in driving operational excellence, strategic coordination, and team engagement across the organization. This position sits on our Executive Assistant team, reporting to the Manager of Executive Operations. The ideal candidate is a nimble self-starter who possesses deep administrative expertise, owns end-to-end logistics, demonstrates sound judgment, and takes a proactive approach to stay ahead. What You'll Do - Manage Complex Calendars & Priorities: Seamlessly coordinate multiple complex executive calendars and competing priorities, utilizing critical thinking to "think ahead" and anticipate the needs of your executive without explicit direction. - Coordinate Travel & Events: Arrange simple and complex travel arrangements (domestic and international) and execute high-quality event planning for offsites and large meetings, inclusive of managing budgets and logistics end-to-end. - Drive Business Operations & Processes: Streamline workflows by processing expense reports and facilitating critical business contracts/POs in alignment with procurement policies. Proactively identify opportunities to increase efficiency and improve processes. - Lead Communication & Meeting Prep: Manage leadership team rhythms (OpMechs, Staff meetings, etc.), serve as the key liaison by delivering meeting agendas and presentation materials, and lead follow-through/documentation on action items. Draft complex and sensitive correspondence on behalf of executives. You will handle sensitive material with the highest level of confidentiality. - Support Projects & Team Enablement: Champion organizational strategy by managing cross-group programs/events (such as employee recognition, All Hands, etc.), assisting with new hire onboarding, and resolving issues in imaginative, practical ways. - Business Context & Priority Alignment: Ensure a tight alignment across key business initiatives, priorities, and deliverables, to positively impact the executive you support through attending staff and other relevant meetings. - Relationship Building & Brand Extension: Operate professionally as a thoughtful extension of the executive brand, working collaboratively across all seniority levels. Utilize both formal and informal channels to navigate the organization and achieve timely results. Communicate effectively and professionally with customers and external contacts as a proxy for the executive(s) you support. Who You Are - 3+ years of experience supporting C-suite level executives - Able to effectively multitask under pressure, prioritize work, and quickly adapt to changing demands. Comfortable with utilizing AI and automating processes for maximum efficiency. - A self-starter with a strategic and creative approach to problem-solving. Track record of successfully driving initiatives with minimal oversight and independently finding solutions to challenges (if you don't know the answer, you can find it). - Exceptional communication skills, both written and verbal, with a professional and approachable presence. Demonstrated skills in professional business communication, including drafting emails, preparing reports, and facilitating meetings. - Demonstrates a high level of organization with relentless attention to detail and accuracy. - Exhibits a positive, energetic, and customer-service-oriented approach. The typical base salary range for this position is $95,000 - $115,000 per year.
