Associate Producer

MoonLab is seeking a detail-oriented and motivated Associate Producer to join our production team on an initial 3-month contract basis, with the potential to convert to a full-time role based on business needs and overall fit. RESPONSIBILITIES: The Associate Producer will support the planning, management, and execution of MoonLab projects, taking the lead on small- to mid-sized activations while supporting Producers and Senior Producers on larger, more complex events. This role is designed as a growth position, offering hands-on ownership of client-facing work while providing mentorship and guidance from senior production leadership. The ideal candidate is highly organized, proactive, and eager to develop into a full Producer role. Project Management & Execution - Lead small- to mid-size projects end-to-end, managing budgets, timelines, vendors, and client communications. - Support Producers and Senior Producers on large-scale events by managing assigned workstreams and deliverables. - Oversee production logistics including venue sourcing, permitting, vendor coordination, fabrication support, and load-in/strike planning. - Develop and maintain project trackers, timelines, ROS, and production documents. - Travel onsite as needed to support installs, live events, and strike. - Lead specific workflows or smaller activations within the larger program (e.g., signage installs, breakout rooms, sponsor activations). - Manage assigned vendors and onsite logistics, reporting up to Project Lead. - Ensure daily communication with Producers and Senior Producers, delegating tasks as appropriate. - Handle client-facing moments for assigned project areas, always keeping Project Lead informed. - Document updates, challenges, and changes for post-event reporting. Client & Vendor Coordination - Serve as a day-to-day contact for clients on assigned and/or owned projects, building trust through clear, timely communication. - Source, negotiate, and manage vendors across fabrication, A/V, rentals, labor, and logistics. - Partner with internal creative and design teams to ensure concepts are feasible and aligned with client goals. Team Collaboration & Growth - Work closely with Producers, Senior Producers, and Directors to support department goals and contribute to project success. - Provide oversight and mentorship to Coordinators and Production Assistants on assigned projects. - Contribute to the development of internal systems, templates, and processes to improve efficiency. Required Travel: 50%
Job Requirements
- 3–5+ years of experience in experiential production, live events, or a related field.
- Proven ability to manage small- to mid-sized projects independently.
- Strong knowledge of event production logistics, including permitting, fabrication, and vendor management.
- Excellent organizational skills, with the ability to manage multiple projects at once.
- Client-facing experience and strong communication skills.
- Budget tracking and vendor negotiation experience.
- Proactive, resourceful, and solutions-oriented mindset.
