HubSpot CRM Implementation Assistant - India Remote
QuantumLoopAi
ABOUT QUANTUMLOOPAI QuantumLoopAI is one of the UK's fastest-growing healthtech companies. Our AI-powered platform, EMMA, is used by hundreds of organisations across the UK to manage communications, automate workflows and deliver better outcomes through intelligent automation. Backed by leading investors and scaling rapidly ahead of our Series A, we are building the infrastructure that will define the next generation of AI-driven service delivery. ABOUT THE ROLE We are looking for a hands-on HubSpot CRM Implementation Assistant to work closely with one of our founders on a full-time, short-term contract. Your role will be to execute tasks inside HubSpot to bring our CRM vision to life — building sales pipelines, automations, workflows, integrations and reports that will underpin how our sales, customer service and account management teams operate. This is not a marketing or website role. The focus is purely on CRM, sales operations, customer service and account management workflows. This role is execution-heavy — we know what we want, we have in-house engineers, and we will give you clear direction. You will be responsible for making things happen quickly and correctly inside HubSpot. This is a 1-month full-time contract with the possibility of extension up to 3 months. We need someone who can start immediately and commit fully to UK business hours. WHAT YOU WILL DO - Work closely with leadership to understand requirements and translate them into HubSpot builds. - Configure and customise sales pipelines tailored to our sales process. - Create and manage automations, workflows and sequences for sales and customer operations. - Set up reporting dashboards and tracking for performance monitoring across teams. - Assist with HubSpot integrations including internal tools, APIs and third-party applications. - Support minor custom coding or technical adjustments where needed. - Build and manage custom properties, lead routing, deal stages and lifecycle management. - Document all processes, configurations and workflows to ensure a smooth handover to our team at the end of the contract.
Job Requirements
- ESSENTIAL
- Strong hands-on experience with HubSpot Sales Hub and CRM — you have built pipelines, workflows and automations in HubSpot, not just used them.
- Proven track record of setting up and configuring HubSpot CRM for sales teams and operations workflows.
- Comfortable with custom properties, lead routing, sequences, deal pipelines, reporting and dashboards.
- Ability to handle integrations using Zapier, HubSpot-native connections and APIs.
- Strong problem-solving skills, detail-oriented and able to work quickly under time pressure.
- Must be available full-time (9:00 AM to 6:00 PM UK time) for a minimum of 1 month starting immediately.
- A self-starter who can follow clear direction and deliver results efficiently.
- Comfortable working remotely and collaborating asynchronously with a UK-based leadership team.
- DESIRABLE
- HubSpot certifications (Admin, Sales Software, Automation or similar).
- Experience with HubSpot Service Hub or Operations Hub.
- Familiarity with HubSpot API for custom integrations or technical adjustments.
- Experience implementing CRM for startups or scaling companies where processes are being defined for the first time.
- Previous experience documenting CRM configurations and creating handover materials for internal teams.
- LOGISTICS
- Education: We value skills and experience over formal qualifications.
- Working arrangements: Fully remote from India, aligned to UK business hours (9:00 AM to 6:00 PM GMT/BST).
- Contract: 1-month full-time contract with possible extension up to 3 months.
- Start date: Immediate.
Benefits

- Potential share options
- The opportunity to work directly with the founders of a fast-growing AI company

- HOW WE ARE DIFFERENT
- At QuantumLoopAI, you will join a team that is building AI-powered products used by hundreds of organisations across the UK. We move fast, take ownership, and celebrate wins together. Our culture values:
- Impact over optics. We measure success by real outcomes, not busy work
- Transparency. Open communication, honest feedback, shared context

- Learning. We are building something new, and we learn from every experiment
- This is a short-term contract with a specific, high-impact mission: build the CRM infrastructure that will power our sales and customer operations as we scale. Your work will be used by every commercial team in the company from day one.

We welcome applications from candidates of all backgrounds, and we are committed to creating an inclusive environment where everyone can do their best work. If you are excited about this role but do not meet every requirement, we would still love to hear from you.
