Pitcoff Law Group, a growing commercial litigation and business law firm based in New York City, is seeking a Remote Receptionist / Administrative Assistant to manage inbound communication, support client coordination, and ensure nothing falls through the cracks. This is a fully remote role operating on Eastern Time hours. You will play a critical role in how prospective and existing clients experience the firm from the very first interaction. This is not a passive, call-answering role. It requires ownership, responsiveness, and the ability to manage multiple priorities in a fast-paced, professional-services environment. Why This Role - High-impact position: You own the firm’s first impression and ensure every inbound opportunity is handled with speed and professionalism - Structured environment: Clear systems, expectations, and workflows to support your success - Cross-functional exposure: Work closely with sales, legal, and operations - Growth opportunity: Expand into intake, operations, or client experience over time What You’ll Do - Own all inbound communication, ensuring every call, email, and inquiry is handled promptly, professionally, and routed effectively - Capture key information and ensure prospective clients are directed to the appropriate next step without delay - Maintain accurate, real-time records of all interactions, ensuring visibility and follow-through across the team - Coordinate scheduling for consultations and internal meetings, ensuring a smooth and organized process - Manage voicemails, missed calls, and follow-ups with a same-day response standard - Support administrative workflows including data entry, document handling, and internal coordination - Monitor for urgency and escalate time-sensitive matters appropriately - Identify gaps or inefficiencies and contribute to improving processes over time Performance Expectations - Consistently respond to inbound calls and inquiries in real time, minimizing missed opportunities - Ensure timely follow-up on all communications, ideally same day - Maintain complete and accurate records across systems - Demonstrate strong organization, reliability, and accountability in a remote environment Who You Are - 3+ years of experience in a receptionist, administrative, or client-facing support role, ideally in a professional services environment - Highly organized with strong attention to detail - nothing slips through the cracks on your watch - Strong verbal and written communication skills with a polished, professional tone - Able to manage multiple priorities and stay calm under pressure - Comfortable learning and navigating systems such as CRM platforms, phone systems, and scheduling tools - Reliable, responsive, and self-directed in a remote environment - Available to work standard business hours in Eastern Time About Pitcoff Law Group Pitcoff Law Group represents companies and executives in commercial litigation, partnership disputes, and corporate matters. Job Summary Communicates back and forth with Waste Management Drivers to assist with problem resolution while on route for residential, commercial and roll-off lines of business. Handles incoming service orders, directs drivers, and resolves service issues. Interacts with customers that includes Waste Management customer service, sales, and operational staff (i.e. Route Managers, Mechanics etc.). Uses Waste Management proprietary software to manage same day ticket routing as well as preparing all routes for the next day. Shifts vary with the potential for overtime and Saturday hours depending on each Market area dispatch center needs. Some travel (up to 15%) may be required to work face to face with sites dispatcher is responsible for. II. Essential Duties and Responsibilities To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned. - Dispatches drivers to calls as they are received, using information on customer needs, drivers’ locations and loads, and daily factors to balance cost and customer satisfaction. - Works with sites and the service department to optimize routes based on needs of the customer. - Determines the daily level of driver staffing to provide best mix of responsiveness and productivity. - Assigns routes and service tickets to appropriate drivers throughout the day and for the next day; manages and determines route actions and assuring route completion. - Handles fields incoming calls and e-mails from customer service and sales department; manages requests for all pick-up or delivery on any container movement within the Market area. - Initiates communication to customers while drivers are on-site/location, resolving pick-up and other issues delaying the service. - Troubleshoots and resolves potential delivery and pick-up problems before they result in service issues. - Ensures same-day service on missed pick-ups by managing the routing for all routes and tracking driver movement in the field. III. Supervisory Responsibilities This job has no supervisory duties. IV. Qualifications The requirements listed below are representative of the qualifications necessary to perform the job. A. Education/Experience - Education: High School Diploma or G.E.D (accredited). - Experience: Six (6) months of relevant work experience working in a team setting, with the ability to communicate to several areas effectively. - Multi-tasking in a fast-paced work environment with excellent organizational skills.
