About the Role: We are seeking a highly organized, proactive, and detail-oriented Assistant Project Manager to support delivery across a range of AI data collection programs. This is an ideal role for someone stepping into project management for the first time and looking to build strong experience in a fast-moving, operations-heavy environment. This role will support project and program leaders across multiple active workstreams, including Voice AI studio projects as well as Physical AI, Computer Vision, image, egocentric, and video data collection programs. The Assistant Project Manager will help drive day-to-day coordination, tracking, communication, and operational follow-through, while learning the fundamentals of project delivery in complex collection environments. The ideal candidate is highly dependable, eager to learn, comfortable managing multiple moving parts, and able to support both structured workflows and fast-evolving operational needs. This person should be excited to grow into a project management career while contributing meaningfully to live programs from day one. Key Responsibilities: Project Delivery & Coordination - Support day-to-day project coordination across active data collection programs - Assist Project Managers and Program Managers with project plans, trackers, action logs, risks, dependencies, and follow-ups - Help maintain timelines, task ownership, status updates, and delivery documentation across multiple workstreams - Track open items and ensure timely follow-through on operational and project-related actions - Support execution against project requirements, milestones, and internal delivery expectations - Help surface blockers, gaps, and risks to project leadership in a timely manner Cross-Functional Support - Coordinate with internal stakeholders including moderators, operations teams, recruiting, vendors, QA, and project leadership - Help ensure teams are aligned on schedules, deliverables, staffing needs, and operational next steps - Support communication and coordination between onsite, remote, and cross-functional teams as needed - Assist with meeting preparation, note-taking, action tracking, and follow-up communication Program Operations Support - Support operational execution across a range of collection environments, including studio, onsite, remote, and field-based programs - Help monitor project readiness, staffing coordination, throughput, collection progress, and issue resolution - Assist with launch readiness activities such as materials preparation, process tracking, scheduling support, and operational setup - Contribute to smooth handoffs between planning, launch, and live delivery phases Reporting & Documentation - Prepare and maintain project trackers, status reports, dashboards, meeting notes, and internal updates - Help ensure project records, workflows, and documentation remain accurate, organized, and up to date - Support leadership with clear, well-structured reporting on project health, timelines, and risks - Help document SOPs, workflows, templates, and project learnings for future reuse Process Improvement & Scale Support - Identify opportunities to improve coordination, communication, tracking, and operational consistency - Help strengthen project management processes, tools, templates, and delivery playbooks across the practice - Support project setup and scaling efforts as new programs launch or existing programs expand - Travel as needed to support project setup, launch readiness, or operational coordination across sites Qualifications: - 1–3 years of experience in project coordination, operations, program support, account coordination, research operations, or similar roles - Strong organizational skills and ability to manage multiple priorities at once - High attention to detail and strong follow-through - Strong written and verbal communication skills - Comfortable working in fast-paced, evolving environments with multiple stakeholders - Ability to stay organized and effective while supporting several projects at different stages - Proficiency with common project management and productivity tools such as Excel/Google Sheets, Airtable, Asana, Monday.com, Smartsheet, or similar - Eagerness to learn project management fundamentals and grow into broader ownership over time Preferred Qualifications - Experience supporting operational, logistics, studio, research, or production-heavy environments - Exposure to AI data collection, research operations, content operations, or participant-based programs - Familiarity with project trackers, scheduling, meeting coordination, reporting, and action management - Experience working with vendors, staffing partners, or distributed teams - Willingness to travel as needed to support project setup, launches, and active delivery needs - What Success Looks Like - Project Managers and Program Managers are well supported in day-to-day execution - Trackers, timelines, notes, and action items are accurate, current, and easy to work from - Cross-functional communication is organized and reliable - Risks, blockers, and loose ends are surfaced early and followed through consistently - New projects and active programs run with better structure, visibility, and coordination - The Assistant Project Manager grows into increasing ownership over time Hourly Range: Up to $70,000 annual salary Hourly rates at Innodata vary depending on a wide array of factors, which may include but are not limited to the role, skill set, educational background and geographic location.
