What we are looking for: As the VFX Coordinator you will be joining an innovative startup changing the future of filmmaking. The VFX Coordinator will report to the VFX Producer (LA), working closely with the Post Production, Pipeline, IO and Film Innovation teams. The VFX Coordinator will be responsible for the coordination of projects including feature films, episodic series, and commercial content. The VFX Coordinator must be adept at maintaining projects in Flow Production Tracking Software, time management, and multi-tasking. This Coordinator must be able to work effectively and efficiently with our cross-functional teams in both the US and UK locations. Role reports to VFX Producer (LA) We’re looking for a highly organized, detail-oriented VFX Coordinator who thrives in a fast-paced, technology-driven production environment. This person will be instrumental in managing project flow, enabling smooth communication between internal teams and external vendors, and ensuring that all deliverables are tracked, reviewed, and delivered on time. The ideal candidate is proactive, precise, and deeply familiar with VFX workflows, with the ability to manage multiple priorities while maintaining clarity and structure across projects. Responsibilities Project Coordination & Tracking - Manage VFX projects within Flow Production Tracking, ensuring accurate statuses, assignments, notes, and timelines - Reconcile Flow data with internal tracking systems and spreadsheets to maintain alignment across teams - Track project progress and proactively flag risks to ensure on-time delivery of shots and assets Vendor & Cross-Functional Communication - Liaise between vendors and internal teams including Data I/O, Film FX, QC, and Pipeline to ensure clear and timely communication - Maintain daily correspondence with vendors and distribute detailed notes from reviews and meetings - Organize and coordinate meetings across multiple time zones, ensuring all stakeholders are aligned Reviews, Deliverables & Operations - Create Flow playlists and run review sessions with vendors and creative teams - Oversee the sending and receiving of vendor packages in partnership with Data I/O - Track invoices and payment status, and create technical support tickets with Pipeline and IO teams as needed Qualifications & Experience Must-haves - In-depth understanding of live-action VFX workflows, processes, and pipelines - Strong proficiency with Flow, RV, MediaShuttle, Excel, Google Suite, Zoom, and Jira - Previous experience in film production, visual effects, editorial, or IO environments - Ability to manage multiple projects concurrently in a deadline-driven environment - Highly organized, proactive, and detail-oriented with strong time management skills - Strong communication skills with the ability to anticipate issues and resolve them efficiently - Familiarity with common file formats, resolutions, and delivery specifications Bonus Basic knowledge of DaVinci Resolve or editorial workflows Why work at Flawless? Job Summary & Responsibilities The Transaction Services Team Lead will report to the Transaction Services Manager in the R&W Operations Department. This role is responsible for overseeing, supporting and monitoring team members as they perform varied duties related to purchasing alternative asset investments. Alternative assets include, but are not limited to limited partnerships, private stock, promissory notes, mortgages, real estate and precious metals. The incumbent will work closely with investment sponsors, clients and various internal departments, as needed.
