Job Description

weThink - Executive Assistant

Jobrack

Be responsible for managing information flow, priorities, and execution. Full-time with a monthly salary of $2,000–$2,500  I started weThink as an analytics startup focused on helping high-stakes teams perform better under pressure. We work closely with U.S. Department of Defense partners and other complex organizations where clarity, precision, and good decision-making really matter. What we build sits at the intersection of data, human behavior, and real-world execution. We’re a small, global team working across the US, Asia, and Europe. We value trust, calm execution, and high standards without chaos. Things move fast here, but we care deeply about doing work properly, building systems that last, and supporting each other as humans—not just roles. We’re looking for an Executive Assistant to the Founder & CEO who acts as a true extension of me. This role exists to reduce my cognitive load, surface priorities, and ensure nothing critical is lost in complexity. This is someone who takes full ownership of information flow, communication, and follow-through, and who enjoys creating clarity so I can stay focused on strategy, partnerships, and growth. 🧠 Own inbox and calendar management across business and some personal matters 📅 Coordinate scheduling, meetings, and travel across multiple time zones 📝 Draft emails, messages, and documents independently in my voice 🔁 Track follow-ups and ensure commitments don’t slip through the cracks 🗂️ Create and maintain systems in Notion for projects, decisions, and documentation 🤝 Coordinate with a global team and delegate tasks when needed 📊 Support operational execution across multiple parallel initiatives 🧠 Be comfortable making real-time prioritisation decisions when context is incomplete, and escalate only when necessary This is a full-time role with flexible hours, requiring around 6 hours of overlap with the US Mountain Time (MT) zone.

Job Requirements

  • Must-have requirements
  • ✅ Prior experience supporting a founder or senior executive in a fast-moving environment
  • ✅ Proven ownership of inbox and calendar management
  • ✅ Strong written English and ability to represent an executive’s voice accurately
  • ✅ Comfort making judgment calls with incomplete information
  • ✅ Systems-oriented mindset with strong follow-through
  • ✅  Experience improving workflows or documenting repeatable processes
  • ✅ High discretion and reliability
  • ✅ Fluency with Google Suite, Notion, Slack, and modern productivity tools
  • Brownie points
  • ⭐ Comfort using AI-enabled productivity tools
  • ⭐ Long-term interest in executive support as a craft, not a stepping stone
  • The ideal candidate is calm, proactive, and quietly confident. They think a few steps ahead, communicate clearly, and take pride in protecting another person’s focus. They’re steady under pressure, highly organized, emotionally intelligent, and comfortable working with a decisive founder who has high expectations.
