Executive Assistant / Operations Assistant Manager

• Own and manage the principal’s calendar, scheduling, and meeting logistics • Prepare structured daily and weekly briefing materials with context and objectives • Manage email triage and support executive communications • Coordinate travel arrangements and logistics • Support speaking engagements and event coordination • Conduct industry research and deep dives across investment and business topics • Gather and synthesize information from multiple sources into clear reports • Produce concise, high-quality written summaries and insights • Track key themes, trends, and strategic signals across investments • Drive timelines and execution across investment and venture initiatives • Maintain dashboards and track project progress • Coordinate deliverables and follow-ups across multiple projects • Support tracking of deal flow and investment activity • Maintain and update CRM systems across investor and partner relationships • Coordinate investor communications and private events • Assist with diligence materials and documentation • Track relationship notes and engagement history • Support selective personal logistics and coordination needs • Assist with operational execution of a consumer-facing subscription project • Coordinate administrative and operational tasks as required

Job Requirements

  • 2+ years of experience in executive support, operations, or similar roles within investment, finance, or high-performance environments
  • Strong research and analytical skills with the ability to synthesize complex information
  • Excellent written and verbal English communication skills
  • High level of proficiency in Notion
  • Proven ability to work independently and proactively manage priorities
  • Strong organizational and time management skills in fast-paced environments
  • High level of discretion and ability to handle confidential information
  • Comfort working across multiple workstreams with changing priorities
  • Understanding of investment processes, deal flow, and relationship management
  • Nice-to-Haves (Preferred)
  • Experience in family offices, private equity, venture capital, or financial services
  • Familiarity with investor relations or investment memo preparation
  • Experience with CRM systems and relationship tracking
  • Exposure to project management beyond traditional executive assistant responsibilities
